Reporting to the Director of Marketing, the Marketing Project Specialist will help keep marketing operations running smoothly, assisting the team with initiatives that feature our amazing dogs and the people they help. Your day-to-day will bring opportunities to:
Build out assigned projects ahead of schedule to keep things running smoothly
Maintain assigned project templates so that they are always up to date and ready to go
Continuously refine and adapt workflows to meet the changing priorities of the marketing team
Anticipate the evolving needs of a creative team by using critical thinking to identify missing information, ask thoughtful questions, and ensure projects are set up for success
Support the Marketing Director by monitoring assigned projects, identifying potential scheduling conflicts, and communicating when project timelines or deadlines are at risk
Help coordinate and fulfill Marketing Support requests
Assist team members with Asana troubleshooting and project organization
Handle order placements and process invoices and receipts for payment to the finance team
Provide administrative support to the marketing team, i.e.: collateral inventory, data entry, reporting, travel arrangements and meeting scheduling
Keep digital spaces (Asana, OneDrive, SharePoint, etc.) organized and efficient
Enjoy working as part of a collaborative Project Management team where you'll share ideas, solve challenges, support one another, and deliver exceptional results
Be ready to jump in to help with any extra tasks as needed

2+ years of related experience
Project management system experience preferred—knowledge of Asana is a plus
Familiar with Microsoft Office: Outlook, Word, and Excel
Strong analytical skills with the ability to prioritize, anticipate needs, and adapt to changing priorities
Outstanding administrative skills, great attention to detail, and a passion for excellence
Capacity to retain and apply information across multiple projects while maintaining a high level of accuracy and consistency
Highly organized with the ability to manage multiple tasks and meet deadlines
Effective time management skills and a self-motivated work ethic
Flexible and open to constructive feedback with a willingness to adapt and improve
Ability to work independently as well as collaborate in a team environment
A clear and friendly communication style with strong written and verbal skills
Eagerness to work in an energetic, collaborative team environment that respects work-life balance

This is a hybrid position with the expectation to work on-site at our beautiful 66-acre Palmetto, Florida, campus at least three days a week. This role supports regular team collaboration while allowing flexibility for some remote work.
