Position Overview
This role involves client communication, scheduling, administrative support, and maintaining a calm, respectful atmosphere. Ideal candidates are detail‑oriented, comfortable with technology, and able to handle sensitive information with discretion.
Key Responsibilities
- Greet clients with professionalism and warmth, both in person and over the phone
- Manage appointment scheduling, cancellations, and reminders
- Verify insurance information and assist with medical record releases
- Collect co‑pays and process payments
- Maintain accurate and confidential client records
- Coordinate with clinicians to support daily workflow
- Monitor waiting room environment to ensure comfort and privacy
- Handle general administrative tasks (email, faxing, scanning, data entry)
- Uphold HIPAA and confidentiality standards at all times
Qualifications
- Previous experience in a medical office, behavioral health setting, or customer service role
- Strong communication and interpersonal skills
- Ability to multitask in a fast‑paced environment
- Comfort with electronic health record (EHR) systems (experience preferred)
- High level of professionalism, empathy, and discretion
- Reliable, punctual, and organized
- High school diploma or equivalent required; additional training or certification a plus
