GENERAL DESCRIPTION
Perform all aspects of clerical functions that support the daily operations of the Early Learning Programs (EHS,PFA, PFAE, PI) as well as conduct community outreach in Kankakee county. Collaborate with community partners and partnering child care programs to establish/and or maintain collaboration agreements, event planning. Parent referrals, etc.
DUTIES AND RESPONSIBILITIES
· Direct and greet all incoming guests, clients, staff, etc. in a professional and friendly matter.
· Assists in answering incoming phone calls and checks voicemail.
· Schedule meetings and manage the calendar of the Director of Early Learning Programs.
· Performs general clerical duties to include but not limited to: typing, photocopying, faxing, mail distribution and filing.
· Assist Director and Assistant Director of Early Learning in maintaining personnel records for childcare partners.
· Assist in updating marketing materials for early childhood program as defined by agency’s visual identity plan.
· Process and maintain office supply inventory orders and serves as liaison with vendors. This also includes toner and copy paper for all office printers and copiers.
· Work collaboratively with Business Operations Specialist (Joliet office) as point of contact for any emergencies that may affect the Kankakee office location.
· Enter data in COPA and the IWAS systems and pull weekly and monthly reports.
· Maintain records as needed including meeting minutes, agendas, and sign in sheets.
· Assist with planning and implementation of community outreach and recruitment events.
· Drop off and deliver paperwork, or enrollment information and/or other resources to partnering childcare programs and community partners.
· Participate in training programs to enhance knowledge and skills in early childhood education, marketing, data analysis, etc. as needed.
· Maintains required job skills and core professional competencies. Attends and participates in staff development programs and staff meetings including assistance with fund development.
· Participate and attend agency community engagement events, staff development programs activities, and meetings while assisting with resolving any conflicts as they arise.
· Attend community events
· Complete intake with families and recruit families.
· Follow up with families regarding missing enrollment forms, health updates for children.
· May require local travel and attend occasional evenings and weekend meetings.
· Performs other duties as assigned (assist with events and office maintenance).
· Must have reliable transportation & current car insurance.

EDUCATION AND EXPERIENCE REQUIREMENTS
· High School diploma with at least 1 year or more administrative support experience.
· Demonstrates proficiency in computation and writing skills.
· Computer experience, Microsoft Office Suite.
· May be required to carry, lift, or move equipment, materials, or supplies weighing up to 40 lbs.
