Under general supervision, the Collection Specialist is responsible for managing overdue accounts and negotiating with individuals or businesses to recover outstanding debts while maintaining a professional relationship.
Key Responsibilities:
· Account Monitoring: Regularly review accounts receivable aging reports to identify overdue or delinquent accounts to assure satisfactory DSO.
· Customer Outreach: Contact clients via phone, email, or mail to discuss unpaid balances and determine reasons for payment delays.
· Negotiation: Discuss feasible repayment plans or settlements for customers experiencing financial hardship while adhering to company policies with Credit & Collections Manager. Implementing these repayment plans once approved.
· Dispute Resolution: Investigate and resolve billing discrepancies, service disputes, or pricing adjustments that may be blocking payment while working closely with internal partners.
· Skip Tracing: Use various tools and databases to locate debtors who have moved or changed their contact information.
· Record Keeping: Document all communication attempts, payment arrangements, and account status updates in the company's ERP or CRM software.
· Escalations: Identify high-risk accounts and recommend them for legal action, service suspension, or third-party collection agencies to the Credit & Collections Manager.
· Inbound Call Handling: Answer & resolve any inbound callers request for assistance relating to any credit, collections, or accounts receivable inquiries.
· Credit / Adjustment Requests: Process credit memo, adjustment, and refund requests as needed.
· Reconciliations: Troubleshoot account issues, i.e…reconciliation of misapplied payments, invoices with billing issues pertaining to pricing or quantities, and possible invoices posted to the incorrect customer account.
· Build & Maintain Strong Relationships: Build & Maintain strong relationships with all internal departments including sales, billing, and leadership. Keep in close communication with sales when customers are not responding to collection efforts and seek out their help in the process.
· Accept Payments: Accept Payments from customer to process through our PDS payment portal (Credit Card and/or ACH).
· Unapplied Cash Research: Monitor and advise collection team of "unapplied cash" on accounts so that the collection team can contact customers or internal departments to identify where funds belong.

Position Type/Expected Hours of Work:
This is a full-time position with regular business hours, Monday through Friday. Evening and weekend work may be required based on job demands.
Work Environment:
This job is primarily based in an indoor office environment with standard office equipment and facilities.
Physical Demands:
This job requires light physical activity performing nonstrenuous daily activities of an administrative nature. The employee must be able to stand or sit for extended periods of time.
Travel:
This position will be based in West Sacramento.
Required Education and Experience:
1. High school diploma or general education degree (GED); or three (3) years of experience with applicable trade; equivalent combination of education and experience.
- Proven experience in commercial credit department (not a collection agency).
Pay: $25.00 - $27.00 per hour
