Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping
- Coordinate calendar management and schedule appointments or meetings for staff members, ensuring optimal time utilization
- Support office management by organizing files, maintaining records, and overseeing filing systems to ensure easy retrieval of documents
- Provide exceptional customer support by addressing inquiries via phone or email, demonstrating excellent phone etiquette and customer service skills
- Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies inventory
- Support administrative functions related to medical or dental receptionist duties if applicable, including patient check-in/out procedures and appointment scheduling
Experience
- Proven office experience with a strong background in clerical duties, data entry, and administrative support
- Familiarity with office management tools including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and productivity software
- Experience handling multi-line phone systems and providing excellent customer service in a professional setting
- Prior experience as a personal assistant or medical/dental receptionist is advantageous
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Technical proficiency in bookkeeping using QuickBooks or similar software is preferred
