The Patient Coordinator Lead serves as the primary front office resource for the assigned practice location and plays a key role in creating an exceptional patient experience. This position is responsible for coordinating scheduling, treatment follow-up, patient communication, collections support, and day-to-day front office operations while serving as a trusted partner to providers and clinical team members.
This is a hands-on individual contributor role focused on operational excellence, patient service, and office performance rather than formal people management responsibilities.
What You'll Do
Patient Coordination & Financial Responsibilities
- Confidently review treatment plans, financial responsibilities, and payment expectations with patients
- Support treatment acceptance through patient education, proactive follow-up, and strong communication regarding recommended care
- Monitor unscheduled treatment, pre-determinations, outstanding balances, and unresolved patient accounts
- Ensure collection of patient portions at the time of service whenever possible
- Partner with the Insurance Coordinator to ensure patient eligibility, benefits, and estimates are accurate and up to date
- Support office performance through effective management of scheduling, treatment follow-up, and collections activities
Scheduling & Office Operations
- Manage provider schedules to support productivity, efficiency, and patient access
- Proactively address cancellations, schedule gaps, and opportunities to optimize patient flow
- Coordinate closely with clinical team members to ensure smooth daily operations
- Assist in organizing daily huddles and communicating scheduling priorities
- Help maintain a well-organized, efficient, and patient-focused office environment
Patient Experience & Communication
- Create a welcoming, professional, and service-oriented experience for patients
- Serve as a primary point of contact for patient questions and concerns
- Assist with patient issue resolution and service recovery when needed
- Ensure timely communication through phone, email, voicemail, text, and patient outreach systems
- Build strong patient relationships that support retention and long-term trust in the practice
Administrative & Systems Support
- Maintain accurate patient records and scheduling information within Dentrix Ascend
- Support reporting, patient communication initiatives, and office coordination activities
- Ensure established front office procedures and workflows are consistently followed
- Assist with operational projects and administrative initiatives as needed
What We're Looking For
- 3-5+ years of dental front office, patient coordination, or treatment coordination experience
- Strong understanding of dental scheduling, insurance workflows, treatment planning, and patient financial discussions
- Experience using dental practice management software, preferably Dentrix Ascend
- Exceptional communication, organization, and customer service skills
- Ability to work independently and effectively manage multiple priorities in a fast-paced environment

Pay: $34.00 - $36.00 per hour
