Dr. Buffalo MedSpa and Surgery is a modern, high-end medical spa offering results-driven treatments in a calming, luxurious environment.
We are seeking a MedSpa Coordinator to be the first point of contact for our clients. This role requires a polished, professional, and compassionate individual who thrives in a fast-paced environment and is passionate about aesthetics and wellness. The Coordinator will manage the front desk, support the provider team, and ensure every client receives a five-star experience.
Responsibilities:
- Greet guests warmly and assist with gift card, membership, and retail recommendations
- Oversee daily MedSpa operations, from front desk to provider coordination and report to management daily
- Assist management with inventory, pre- and post-surgical communication, and liaison with the surgery center
- Coordinate appointment scheduling and communication with prospective clients
- Ensure a positive, consistent client experience at every touchpoint
- Supervise the reception team, ensuring efficiency in booking and client communication
- Maximize MedSpa bookings and optimize client flow
- Support inventory management including ordering and receiving
- Maintain a clean, organized, and well-stocked MedSpa environment
- Assist with marketing efforts, social media, and events as needed
- Ensure compliance with MedSpa policies, procedures, and HIPAA standards
Qualifications:
- Prior experience in a MedSpa or high-end Retail (min 1-2 year) is required
- Strong interpersonal skills with a friendly demeanor.
- Ability to multitask in a busy environment while remaining calm and professional
- Highly organized, structured, and detail-oriented
- Passion for aesthetics, wellness, and helping clients feel their best
