The Payroll Clerk / Administrative Assistant is a dual-role position responsible for accurately processing payroll and supporting day-to-day human resources operations. This role ensures compliance with payroll regulations, maintains employee records, and assists with HR initiatives such as onboarding, benefits administration, and employee communications.
Process bi-weekly payroll accurately and on time
Maintain payroll records, including wages, deductions, and tax information
Review timesheets and resolve discrepancies
Ensure compliance with federal, state, and local payroll laws and regulations
Prepare and distribute payroll reports to management
Manage employee payroll inquiries and resolve issues promptly
Coordinate with accounting/finance on payroll-related reconciliations
Support year-end tasks (e.g., W-2 preparation, audits)
Assist with onboarding and offboarding processes, including new hire paperwork and exit documentation
Maintain and update employee personnel files and HRIS systems
Support benefits administration (enrollment, changes, and employee questions)
Assist with recruitment tasks such as posting jobs and scheduling interviews
Ensure compliance with labor laws and company policies
Draft HR documents, including letters, memos, and policies
Support HR projects, reporting, and employee engagement initiatives
Associate’s or Bachelor’s degree in Human Resources, Business Administration, Accounting, or related field preferred
1–3 years of payroll and/or HR experience
Experience with payroll systems and HRIS platforms
Strong attention to detail and high level of accuracy
Knowledge of payroll laws and HR best practices
Proficiency in Microsoft Office (Excel, Word, Outlook)
Excellent organizational and time management skills
Strong interpersonal and communication skills
Ability to handle confidential information with discretion
Problem-solving and analytical abilities
May require adherence to payroll deadlines and reporting schedules
