Summary
Amston Trailers, Service and Sales seeks a service department Billing Specialist. The Billing Specialist will ensuring all paper flow and record keeping for the service department is completed and administered properly and efficiently. Administer all aspects of the warranty claims, including claim writing, warranty parts return, warranty account reconciliation, and warranty appeals. The Billing Specialist will work with the Service Manager on the day-to-day operations of the service department, assisting with job scheduling, customer communication, inventory tracking, and workflow.
Essential Duties and Responsibilities.
- Understand and be able to operate Microsoft Dynamics Business Central
- Be able to research equipment details and repair history
- Creates, close, & tracks service work orders and Invoices
- Issue technicians time on work orders, writing descriptions of what was done to repair the equipment, updating all information and prepare for review by service manager.
- Tracks warranty progress.
- Resolve all warranty issues with vendors
- Communicate with sales department with questions or concerns. (ex: check-ins, workorders)
- Check machine serial number for open PIPs that require completion and inform Service Manager. Create work order
- Track all DVIR’s, interpret what is wrong with equipment and transfer to work order form
- File all work orders, DVIR’s and necessary paperwork for each unit
- File all work orders
· Billing Administration:
- Generate and send invoices to customers based on service usage or product orders.
- Verify billing data accuracy, including customer details, pricing, and service charges.
- Monitor outstanding invoices and follow up with customers on overdue payments when needed.
- Call C.O.D. customers for payments before pickup and update balances
- Collect and run credit card payments for customers and update balances
· Customer Service:
- Respond to customer inquiries regarding their bills, including clarifying charges, explaining billing cycles, and addressing discrepancies.
- Resolve billing disputes and provide solutions to customer concerns in a timely manner per manager approval.
- Explain billing policies and procedures to customers clearly.
- Maintain a positive and professional customer service demeanor.
· Data Management:
- Update customer information in the billing system to ensure accuracy.
- Maintain detailed records of billing transactions and customer interactions.
- Analyze billing data to identify potential issues or trends.
· Compliance:
- Adhere to company billing guidelines and industry regulations.
- Monitor for billing errors and take corrective actions when necessary.
- Assist with answering phone calls for Service and Parts Department
- Assist with customers at the parts counter
- Performs all other duties as assigned.
Education and Experience:
- Requires high school diploma or GED equivalent.
- Prior experience with Microsoft Dynamics, or similar financial invoicing system - Preferred
- Prior experience with manufacturing warranty portals.

Pay: $23.00 - $28.00 per hour

Experience:
- customer service billing: 1 year (Required)
- service quoting for tractors and trailers: 1 year (Preferred)
- Microsoft Dynamics or similar financial invoicing system: 1 year (Preferred)
