VRA Property Management is hiring a full-time Property Manager to oversee a 128-unit residential and commercial portfolio across Pennsylvania, Delaware, and New Jersey. This is an in-office role based in West Chester, ideal for an experienced manager who lives in or near Delaware County and knows how to run rentals across the tri-state area. You'll be the day-to-day point person for leasing, tenants, inspections, permits, and the legal side of keeping the portfolio running.
Leasing & Marketing
- Post new vacancies within 48 hours of tenant notice
- Market across MLS, AppFolio, and social platforms (Facebook, Marketplace, etc.)
- Manage showings, applications, and lease execution
- Ensure lease signing and full move-in funds prior to key release
Move-In / Move-Out Coordination
- Complete inspections with detailed AppFolio reports and photos
- Process security deposit accounting within 30 days
- Coordinate cleaning, repairs, and turnover vendors
Maintenance Oversight
- Assign and close work orders in AppFolio promptly
- Obtain quotes and approvals for repairs over $250
- Track vendor performance and ensure tenant satisfaction
Financial Management
- Oversee rent collection, deposits, and owner distributions
- Process incoming mail and tenant checks in the office
- Review invoices weekly and reconcile with bookkeeping
- Reduce delinquencies and manage the eviction process start to finish, including attending hearings as the company representative
Inspections & Compliance
- Pull and maintain rental permits across PA, DE, and NJ jurisdictions
- Conduct biannual inspections for occupied units
- Schedule township rental inspections and renewals
- Maintain vendor compliance files (W-9s, COIs, and contracts)
Communication & Reporting
- Provide weekly property management update to COO
- Maintain transparent communication with owners and tenants
- Track KPIs including occupancy, delinquency, and maintenance response
Qualifications
- Proven experience in property management or real estate administrative roles, with familiarity in property leasing, facilities management, or related fields
- 5+ years of property management experience (residential or mixed-use)
- AppFolio experience required
- Excellent customer service skills with professional phone etiquette and conflict management capabilities
- Ability to negotiate contracts effectively while maintaining positive relationships with tenants and vendors
- Office experience including data entry, filing systems, contract administration, and administrative support functions
- Strong organizational skills with attention to detail in record keeping and compliance documentation
- Demonstrated ability to lease rental units while adhering to fair housing practices
- Effective written and verbal communication skills, with the ability to handle multiple priorities efficiently
- Based in or near the Delaware County / West Chester area
- Reliable transportation and valid driver's license
