Major Responsibilities
The Project and Facilities Administrator is responsible for overseeing facility operations, building maintenance, and cross-functional projects. Day-to-day responsibilities include planning and coordinating facilities capital improvements and maintenance, and ensuring compliance with safety, health, and building regulations. The role will oversee construction or renovation projects, including budgeting, timelines, contractor oversight, and quality control. This position will also manage space planning, office moves, and equipment needs, while implementing preventive maintenance programs and recommending improvements to enhance efficiency, safety, and user experience.
Tasks
Project Management Responsibilities:
- Lead full lifecycle delivery of construction, renovation, and infrastructure projects from scope development through closeout.
- Develop project budgets, schedules, and risk mitigation plans, ensure alignment with organizational goals.
- Manage RFP’s, bid evaluations, contractor selection, and contract negotiations.
- Oversee change orders, pay applications, submittals, and project documentation.
- Ensure all projects meet quality, safety and regulatory standards.
- Oversee architects, engineers, contractors, and inspectors through design development, value engineering, and constructability reviews.
- Serve as primary liaison with local municipalities and regulatory agencies, securing permits, zoning approvals, and certificates of occupancy.
- Prepare project reports and updates for stakeholders, communicating risks, progress, and changes clearly and promptly.
Facilities Responsibilities:
- Manage annual operating budgets for Facilities and Maintenance department and long-term capital improvement plans.
- Prepare reports for approval for agreements and capital expenditures.
- Implement preventative maintenance programs in coordination with Facilities and Maintenance Supervisor.
- Ensure compliance with OSHA, life safety, and local building codes, worker’s compensation, and environmental regulations.
- Oversee daily operations in coordination with Facilities and Maintenance Supervisor
- Lead workplace safety initiatives.
- Oversee campus safety and emergency response protocols.
- Lead space planning and utilization initiatives to improve functionality.
- Manage utilities costs and usage to ensure energy efficiency.
- Oversee workplace technology systems; access control, mass notifications, IP cameras in conjunction with Information Technology department.
- Oversee all HVAC, electrical systems, standby generators, fire/ life safety equipment, and interior finishes, in coordination with Facilities and Maintenance Supervisor.
- Coordinate with cross-functional departments to support campus needs and events.
- Assist with other duties as needed.
Minimum Requirements
Education: Bachelor’s degree in Facilities Management, Construction Management or related field preferred. Certifications in PMP, CFM, FMP, OSHA 30 preferred
Experience: 7-15 years’ experience in project management, facilities operations. Proven success in managing capital projects and or multi-building campuses
Skills: Proficient in Microsoft Office programs (Word, Excel, Outlook, are required). Analytical and trouble-shooting skills; high attention to detail. Strong knowledge of building systems, construction processes, and regulatory requirements.
Pay: From $75,000.00 per year
