Position Summary
We are seeking a professional, organized, and personable Front Desk Coordinator to serve as the first point of contact for clients, visitors, and team members in our growing professional services firm. This role is critical to creating an exceptional client experience while ensuring the office operates efficiently and professionally each day.
The ideal candidate is detail-oriented, polished in appearance and communication, highly organized, and committed to providing outstanding customer service.
Key Responsibilities
Client & Visitor Experience
- Greet clients, visitors, and applicants in a warm and professional manner.
- Serve as the firm's primary receptionist and first point of contact.
- Answer incoming phone calls, screen inquiries, and route calls to the appropriate team member.
- Check in guests and notify staff members of their arrival.
- Assist with routine client and visitor questions and provide excellent customer service.
Office Operations
- Open the office each morning, including unlocking doors, turning on lights, and preparing common areas for the day.
- Ensure conference rooms are clean, organized, and fully prepared for meetings.
- Maintain meeting room supplies, including notepads, pens, refreshments, and hospitality items.
- Keep reception and common areas neat, professional, and welcoming at all times.
- Ensure coffee, water, and hospitality stations are stocked and ready for clients and staff.
Administrative Support
- Schedule appointments and coordinate conference room usage.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Prepare outgoing mail, shipping, postage, email correspondence, and electronic faxes.
- Assist with filing, scanning, copying, data entry, and other administrative projects.
- Monitor office and reception supplies and coordinate reordering as needed.
Security & Confidentiality
- Follow office security, visitor management, and access control procedures.
- Maintain strict confidentiality when handling client information, records, and firm documents.
- Support compliance with firm policies and professional standards.
Qualifications
- High school diploma required; associate degree or administrative experience preferred.
- Previous receptionist, front desk, administrative assistant, or customer service experience preferred.
- Proficiency with Microsoft Office and standard office technology.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Dependable, punctual, and self-motivated.

Pay: $21.50 - $22.00 per hour
