JOB OVERVIEW
The Dental Insurance Verification Specialist is responsible for verifying dental insurance coverage and benefits for patients, ensuring accurate information is obtained and recorded in our Eaglesoft dental operating system. The role involves direct communication with insurance providers, patients, and co-workers to confirm eligibility, determine co-pays, and confirm what dental procedures are covered by the patient’s insurance plan. The specialist also works closely with the billing team to resolve any discrepancies related to insurance coverage.
JOB RESPONSIBILITIES

Verify insurance eligibility for patients’ upcoming appointments by utilizing online websites or by contacting the carriers directly via phone.

Complete dental insurance verifications in the required timely manner (2 weeks prior to appointments) to ensure patients do not cancel appointments at the last minute due to unexpected co-payments.

Contact patients to acquire required insurance information and clarify discrepancies or missing details.

Review patient deductibles, notes, waiting periods, limitations, exclusions and coverage percentages in the proper locations within our Eaglesoft practice management software.

Perform online real-time insurance pre-authorizations for patients with out-of-network coverage to ensure accurate estimates for their upcoming appointments.

Eagerly answer questions from patients, staff, and insurance companies.

Explain insurance benefits and coverage limitations, exclusions and waiting periods to patients, if necessary.

Coordinate with clinical and administrative team in a respectful and kind manner.

Collaborate and communicate with clinical and administrative teams to ensure accurate treatment planning and a smooth billing and insurance claim process.

Annually update all dental insurance plans breakdown and coverage books.
-
Accurately input and update insurance information in the practice management software.

Maintain and organize insurance-related documents and records for audit and reference.
-
Report any issues or insurance company limitations and exclusion trends that may require further investigation to ensure continued accuracy in quoting patients.

Telephone: answer appropriately, record, and retrieve messages.

Retrieve messages and e-mails and immediately act upon them.
-
Maintain patient records and make appropriate notes within their accounts following communication with patients and/or their insurance companies.

Participate in development of office procedures and forms.

Complete miscellaneous -job related duties as assigned.
REQUIREMENTS

Must be able to work a 34–36-hour work week with two evenings until 5:30pm
-
Must have 2 years Dental Office experience
-
Maintain regular attendance and adhere to assigned work schedule and office policies.

Maintain accurate patient information.

Always maintain the highest level of confidentiality to HIPAA standards.

Adhere to strict safety guidelines and procedures to OSHA and office standards.

Must be comfortable seeing and able to maintain a professional demeanor and attitude with patients and staff members.

Must be detail oriented in order to prepare and process business correspondence and patient records.

Must be flexible and understand that job duties may change from time to time and that this individual may be asked to assist in other areas of the office or provide coverage when team members are out.

QUALIFICATIONS

High school diploma.
-
Accurate keyboard blind touch typing at 40 words per minute with minimal errors.

Medical or dental Insurance verification experience preferred.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS

Sitting 80%.

Standing/walking 20%.

Moderate noise levels from dental and other lab equipment.

Dental, office, and lab setting.
-
Minimum moving requirements of 35 pounds in order to accept equipment deliveries and pack and unpack office supplies.

Exceptional hand dexterity and blind touch-typing skills to work with standard Eaglesoft software and other Microsoft programs provided.

Good mathematical aptitude to prepare and interpret financial and productivity reports for the practice.

Frequent client and interoffice personnel interaction is heavily dependent on excellent customer interaction.

Hearing – Must be able to hear telephonic equipment and comfortably communicate with patients and others by telephone and in person.

Near Vision - The ability to see details at close range (within a few feet of the observer) as required for business software, and operating office machines.

Friday - OFF
