Clinical Marketing Coordinator
Position Summary
SurGenTec is seeking a highly organized, detail-oriented Clinical Marketing Coordinator to support the day-to-day execution of marketing initiatives, product launch coordination, sales enablement, trade shows, physician education programs, and clinical marketing operations.
SurGenTec is a growing medical device and biologics company focused on developing innovative solutions for spine and orthopedic procedures. This role offers the opportunity to support a fast-paced marketing department involved in product launches, physician education, national conferences, sales support, and customer-facing initiatives.
This position serves as an operational backbone of the Marketing Department, helping ensure projects remain on schedule, marketing requests are handled efficiently, event logistics are coordinated, materials are properly managed, and internal stakeholders receive timely support.
The ideal candidate is proactive, organized, comfortable managing multiple priorities, and enjoys both administrative coordination and hands-on marketing support in a healthcare or regulated industry environment.
Essential Responsibilities
Marketing Operations
Coordinate marketing projects and assist with ensuring deadlines are met.
Maintain project timelines, task lists, and follow-up items for marketing initiatives.
Support product launches through coordination of materials, timelines, internal deliverables, and cross-functional communication.
Manage marketing inventory of literature, promotional items, demo materials, branded merchandise, and event supplies.
Assist with vendor coordination, purchase orders, invoices, budget tracking, and marketing-related administrative needs.
Maintain marketing asset libraries, document repositories, and internal marketing resources.
Use approved digital and AI-enabled tools to improve workflow efficiency, organization, reporting, project tracking, and content coordination.
Sales, Demo, and Customer Support
Serve as a point of contact for marketing requests from the sales team, distributors, and internal stakeholders.
Monitor and help manage marketing-related inboxes, demo requests, literature requests, event requests, and other incoming support needs.
Coordinate fulfillment of literature, promotional items, booth materials, demo materials, and customer-facing marketing collateral.
Assist with sales enablement projects, internal communications, and distribution of updated marketing resources.
Support physician engagement programs, customer-facing marketing initiatives, and related internal coordination.
Assist with CRM entry, lead tracking, trade show follow-up lists, and customer or prospect database maintenance.
Events, Trade Shows, and Physician Education Support
Coordinate logistics for national, regional, and local conferences, primarily from the corporate office.
Manage exhibitor registrations, booth shipments, event materials, hotel coordination, internal schedules, and related event logistics.
Support physician education labs, cadaver labs, distributor meetings, customer events, and company-hosted programs.
Assist with planning and logistics for events hosted at SurGenTec or other company-designated locations.
Coordinate event schedules, internal communications, attendee lists, materials, and post-event follow-up.
Track event expenses, budgets, and post-event reporting as needed.
Travel may be required on a limited basis, approximately 5% to 10%, for select trade shows, labs, customer events, or company meetings.
Digital Marketing Support
Assist with website updates and content management.
Support email marketing campaigns, lead capture, and marketing automation initiatives.
Help maintain customer, distributor, and lead databases.
Assist with reporting and tracking of marketing campaign performance, trade show leads, and sales enablement activity.
Compliance and Documentation Support
Assist with coordination of healthcare professional events, marketing activities, and customer-facing programs in accordance with company policies, AdvaMed Code guidance, and applicable compliance requirements.
Maintain records, documentation, contracts, event files, marketing approvals, and project-related materials.
Support accurate tracking of marketing activities, requests, and deliverables.
Assist with special projects as assigned.
Note: All employees will be crossed trained in various areas. At any point in time an employee may be asked by the manager to perform responsibilities outside the areas indicated above.
Qualifications
Required
Bachelor’s degree in Marketing, Communications, Business, Event Management, Healthcare Administration, or a related field.
1 to 3 years of experience in marketing coordination, event coordination, project coordination, sales support, administrative operations, or a related role.
Experience supporting marketing, events, sales, customer service, or administrative operations in healthcare, medical device, biotechnology, life sciences, or another regulated industry.
Strong organizational, follow-up, and project coordination skills.
Excellent written and verbal communication skills.
Ability to manage multiple priorities in a fast-paced environment.
High attention to detail and strong sense of accountability.
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Comfortable working in a cross-functional team environment with Marketing, Sales, Product, Customer Service, Operations, and other internal departments.
Preferred
Experience within medical device, spine, orthopedics, biologics, surgical products, or physician-facing healthcare environments.
Experience supporting trade shows, conferences, physician education programs, corporate events, or customer-facing programs.
Experience with CRM systems, lead tracking, marketing automation platforms, or website content management systems.
Familiarity with AdvaMed Code, healthcare compliance, HCP engagement, or medical device promotional guidelines.
Familiarity with project management software, marketing analytics tools, or digital asset management systems.
Comfort using AI-enabled tools to improve organization, drafting, research, reporting, meeting notes, and project tracking.
Success Metrics
Timely and accurate support of marketing requests, demo requests, literature requests, and sales enablement needs.
On-time completion of assigned marketing projects and deliverables.
Successful coordination of trade shows, physician education programs, labs, customer events, and internal marketing activities.
Accurate management of marketing materials, inventory, asset libraries, and project documentation.
