YOUR ROLE
As our Client Concierge, you'll be at the heart of our operations the first face clients see and the voice that makes them feel like a VIP. But this role goes beyond front-desk admin. You'll actively drive growth by educating clients on our full range of services, converting inquiries into bookings, and helping members get more value out of their care.
You won't be doing this alone. Our offsite support team handles the heavy lifting on back-end administrative work so instead of getting buried in paperwork, you can stay focused on what matters most: the person in front of you. You'll manage key medical administrative tasks and ensure our clinics run like a well-oiled machine, all while bringing a sales-minded energy to every conversation.
WHAT YOU'LL DO
Client Communication
- Be the friendly face and voice of Akemē, warmly greeting clients and ensuring they have an exceptional experience from the moment they walk in or you answer a call.
- Anticipate client needs before they have to ask, and make every interaction feel personal.
Growth & Sales
- Educate every client on our full menu of services
- Convert inquiries and consultations into booked appointments
- Track and report on conversion metrics, package renewals, and upsell performance as part of our weekly growth numbers.
- Identify opportunities to invite clients' friends, family, and teammates into the Akemē community.
Scheduling & Appointment Management
- Keep our schedules in top shape by managing appointments, updating the EMR system, and working closely with our therapists to maximize availability.
- Communicate effectively with patients via phone and in person to address questions, provide information, and facilitate follow-up care
Administrative Support
- Partner with our offsite support team on patient charts, faxes, and billing coordination. You're the on-the-ground point person, not the one buried in busywork.
Insurance Verification
- Work alongside our offsite team to verify insurance benefits and update records, then translate the details into clear, hassle-free conversations with clients.
Client Retention & Engagement
- Build and maintain positive relationships with clients by following up on missed appointments and addressing concerns with care.
- Support fellow team members and pitch in wherever the team needs you we win as a unit, not as individuals.
Team Leadership & Culture
- Lead by example as you train and mentor new team members on clinic protocols and our high customer service and sales standards.
- Arrive early, keep spaces organized and photo-ready, and take ownership of problems until they're solved.
- Lead weekly team meetings: gather and present data, recap action items, and assign tasks to keep the team focused.
- Collaborate with medical staff to ensure seamless office operations and efficient patient flow
Performance Division Coordination
- Assist in managing our performance division by confirming group training attendance, scheduling sessions, and pulling reports.
- Collaborate with trainers by managing session bookings and updates.
Bring the Energy
- Keep the atmosphere lively, welcoming, and positive with your enthusiasm and team spirit music, vibe, and all.
WHAT WE'RE LOOKING FOR
- Sales-Driven Mindset: 1+ years in a sales, business development, or revenue-generating customer-facing role. You're comfortable initiating value conversations, handling objections, and closing without ever feeling pushy.
- Experience: Background in medical administration or customer service; 2+ years preferred.
- Leadership Skills: A natural leader who can motivate a team, delegate tasks, and maintain a positive work environment.
- Communication: Top-notch verbal and written communication skills, with a knack for building genuine, professional relationships.
- Organization: A keen eye for detail and a pro at juggling multiple priorities in a fast-paced environment.
- Customer Service Focus: Genuinely dedicated to delivering the best possible experience for clients, every single time.
- Tech-Savvy: Comfortable with office software, EMR systems, and apple products.
- Flexibility: Thrives in a fast-paced environment and adapts easily to changing priorities.
- Bilingual: Spanish/English fluency is a plus.
- Education/Certification: Background in office administration, healthcare administration, sales, or a related field.
