A small team that actually works well together
We are a small company. Everyone here knows what everyone else is working on, decisions get made in a conversation rather than a meeting, and the person who buys the product talks directly to the person selling it and the person shipping it.
Job Overview
We are looking for a Full Time Purchasing Agent / Buyer to own the buy side of our business. Our current buyer is transitioning out of the role and will train their replacement.
This is a buy-for-resale position. You will manage replenishment across a high-SKU catalog, handle special orders and drop-ships tied to live customer quotes, work with our vendor partners on pricing and delivery, and keep inventory healthy — enough on the shelf to ship same-day, not so much that cash is sitting in slow-moving stock.
What You'll Do
Purchasing & Replenishment
- Generate, review, and release purchase orders based on demand, lead times, min/max levels, and reorder points
- Manage special orders and drop-ships tied to customer quotes and open sales orders, and communicate delivery dates back to sales
- Expedite open POs and resolve shortages, backorders, substitutions, and late or short shipments before they become customer problems
- Evaluate freight options and consolidate orders where it makes sense to hit vendor freight-prepaid minimums
- Follow company purchasing policies and approval thresholds on all orders
Vendor Relationships
- Negotiate return privileges with our vendor partners on as needed basis.
- Manage stocking-level requirements collaborating closely with the sales team.
- Monitor vendor price increases and supply disruptions.
- Review vendor performance periodically on fill rate and on-time delivery.
Inventory Health
- Maintain accurate item records: costs, lead times, unit-of-measure conversions, vendor part numbers, and cross-references
- Watch turns, fill rate, and slow-moving stock; work with vendors on returns and stock rotation to clear dead inventory
- Support cycle counting and physical inventory, and investigate variances
- Recommend stocking additions and deletions based on sales history and what customers are actually asking for, closely aligning with sales team inputs especially for consumable items that have no return policy.
Working With the Team
- Partner with sales and service on quotes, availability, lead times, and product substitutions.
- Coordinate with receiving on discrepancies, damaged freight, and returns to vendors
- Work with accounting on invoice discrepancies and vendor credits
- Pitch in where a small team needs it — covering the counter, helping with a delivery, assist in order entry and preparing quotes or chasing down an answer for a customer.
What You Need
- Experience in purchasing, buying, inventory management, order management, or a closely related role — or transferable experience you can make the case for
- Comfort working in an inventory or ERP system, and basic Excel skills.
- Willingness to negotiate: you are comfortable asking a vendor for ship date, explain our urgency when needed and following up until you get an answer.
- Real attention to detail — in this catalog, one wrong digit in a part number means the wrong part shows up at a customer's booth
- Clear, friendly communication with vendors and coworkers
- Ability to prioritize and shift gears as needed.
- Reliable availability for a consistent weekly schedule
Nice to Have (Not Required)
- Experience buying in wholesale distribution — industrial, safety, welding, fluid power, fastener, or automotive aftermarket
- Familiarity with a distribution ERP system.
- Any working knowledge of spray finishing, coatings, compressed air, filtration, or abrasive blasting equipment
- Experience tracking vendor rebate programs
If you have deep purchasing experience and are looking to scale back to part-time hours, we would very much like to hear from you.
Schedule & Working Conditions
- Hours: Full time, 40 hours per week.
- Setting: Mostly desk and phone work, with regular time out in the warehouse.
- Training period: Expect a heavier schedule for the first [6–8] weeks while you overlap with our current buyer.
Compensation & Benefits
- $22–$27 per hour, depending on experience.
- Prorated paid time off and paid holidays.
- Industry leading health care coverage: Health, Dental and Vision.
- Simple IRA plan with 3% match (waiting period may apply).
