This is a hybrid role, primarily remote with occasional onsite work in the Minneapolis metropolitan area.
Job Overview
The Payroll Specialist is responsible for coordinating and processing employee payroll using a third-party payroll provider such as ADP. This position ensures payroll data is accurate, employees are paid correctly and on time, and payroll records comply with applicable wage and tax regulations. The Payroll Specialist works closely with management, HR, and employees to address payroll questions and maintain accurate employee pay records.
Responsibilities
- Process and review payroll through the company’s third-party payroll provider, such as ADP, ensuring timely and accurate payroll for all employees.
- Review and verify employee time records, pay rates, bonuses, commissions, and deductions prior to payroll submission.
- Maintain payroll records including wage changes, new hires, terminations, and benefit deductions.
- Ensure payroll compliance with federal, state, and local wage and tax regulations.
- Coordinate with management to ensure accurate employee information is entered into the payroll system.
- Review payroll reports and reconcile discrepancies prior to final payroll processing.
- Respond to employee questions regarding pay, deductions, and payroll procedures.
- Process adjustments such as retroactive pay, corrections, and final paychecks as needed.
- Maintain confidentiality of payroll and employee information.
- Assist with year-end payroll processes including distribution of tax forms and reporting through the payroll provider.
- Support audits by providing payroll documentation and reports when requested.
Experience
- Associate’s or Bachelor’s degree in Accounting, Business Administration, Human Resources, or related field preferred.
- 2+ years of payroll processing experience preferred.
- Experience using third-party payroll systems such as ADP strongly preferred.
- Strong attention to detail and accuracy.
- Knowledge of payroll practices and wage and hour laws.
- Ability to maintain confidentiality and handle sensitive information.
- Strong organizational, problem-solving, and communication skills.
- Proficiency in Microsoft Excel and standard office software.
