Position Summary
IQONIC Wealth Management is seeking a highly organized, detail-oriented, and service-minded Client Experience Coordinator to join our growing team.
The Client Experience Coordinator plays an important role in creating an exceptional experience for every client who interacts with IQONIC. As the first face and voice of the firm, this individual is responsible for creating a welcoming, professional environment while coordinating client meetings, managing incoming communications, supporting client service needs, and providing administrative support across the organization.
The ideal candidate is warm and personable, exceptionally organized, comfortable managing multiple priorities, and energized by helping both clients and team members. This role requires someone who takes ownership, notices the details, and consistently follows through.

Primary Responsibilities
Client Experience & Office Hospitality
- Serve as the first face and voice of IQONIC by warmly welcoming clients, prospects, and guests to the office.
- Answer incoming phone calls professionally and ensure messages and requests are routed appropriately.
- Help create a polished, welcoming, and consistent experience for every client visiting or contacting the firm.
- Serve as a primary point of contact for general client service questions and requests.
- Anticipate client and team needs and proactively identify opportunities to improve the overall experience.
Client Meeting Coordination
- Coordinate client meetings, including scheduling, calendar invitations, confirmations, and necessary follow-up.
- Proactively contact existing clients to schedule annual, semiannual, and quarterly review meetings.
- Maintain accurate advisor calendars and assist with scheduling changes as needed.
- Help ensure meeting spaces and necessary materials are prepared prior to client meetings.
Client Service & Administration
- Manage incoming requests to the firm’s general email account and ensure timely follow-through.
- Maintain accurate and comprehensive client files, including scanning, saving, organizing, and storing documents.
- Update client information across firm systems as needed.
- Manage incoming and outgoing mail, including receiving and properly logging client checks and other important documents.
- Provide daily administrative support to advisors and other team members.
- Track outstanding client service requests and help ensure tasks are completed accurately and promptly.
Events & Team Support
- Assist with the planning and execution of client appreciation events, educational events, and team gatherings.
- Coordinate invitations, RSVPs, materials, and other event logistics as needed.
- Attend and support occasional client events outside of normal business hours.
- Assist with special projects and other administrative needs as the firm continues to grow.
Qualifications
Required
- At least two years of experience in a professional office, client service, administrative, hospitality, or related environment.
- Strong proficiency with Microsoft Office products.
- Excellent written and verbal communication skills.
- Exceptional organization and attention to detail.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong interpersonal and customer service skills.
- Ability to learn new technology, systems, and processes.
- Ability to work independently while collaborating effectively with a team.
Preferred
- Experience in wealth management, financial services, banking, professional services, or another client-focused industry.
- Experience with CRM or client management systems.
- Experience coordinating calendars, meetings, or client events.
- SHRM, PHR, or comparable HR certification preferred.

Pay: $60,000.00 per year
