The Opportunity: Our long-time Firm Administrator is retiring after nearly thirty years with the firm. We are seeking a hands-on finance and administrative professional to oversee the firm's business operations.
This is a broad role with varied responsibilities within a relatively small organization. The successful candidate will work closely with the Managing Partner, the partners, staff, and outside advisors to help ensure that the firm's business operations run smoothly.
This position carries significant responsibility, and requires a person who wants a wide variety of duties. We have a fairly flat management hierarchy, which allows for efficient decision making and so we're looking for someone who enjoys taking ownership, solving problems, and personally handling many of the day-to-day responsibilities that keep a boutique professional services firm running smoothly.
The successful candidate will work alongside our current Firm Administrator for several months before he retires.
Primary Responsibilities include:
- Oversee the firm's accounting, budgeting, financial reporting, banking, client trust accounting, cash management, and financial analysis.
- Manage billing, collections, accounts payable, payroll, and related financial processes.
- Handle the billing functions for several firm clients; including use of E-billing platforms.
- Coordinate with the firm's CPA on partnership accounting and year-end tax return preparation/filings.
- Support partnership financial administration, including partner distributions and related internal financial reporting.
- Administer employee health benefits, retirement plans, payroll, and human resources functions.
- Coordinate recruiting, on-boarding, personnel administration, firm policy updates and manage employee records.
- Manage relationships with outside professionals, including the firm's CPA, payroll provider, employee benefits consultants, insurance brokers, labor counsel, banking partners, and other service providers.
- Oversee insurance policy renewals, administrative compliance, and other operational responsibilities.
- Assist with firm risk management, including client intake and disengagement; and policy renewals for professional liability insurance coverage.
- Identify opportunities to improve systems, processes, operational efficiency and overall profitability.
- Provide backup support across some administrative functions whenever needed.
The ideal qualified candidate will:
- Experience managing finance and administrative functions in a law firm or other professional services organization is required.
- Have a strong foundation in accounting and finance; including an understanding of partnership accounting, and related financial and tax concepts.
- Have prior experience in Human Resources, including a foundational understanding of employment labor laws
- Enjoy taking ownership of a broad range of responsibilities, including being equally comfortable thinking strategically as well as handling detailed operational tasks.
- Be highly organized, dependable, proactive, and service-oriented.
- Exercise sound judgment, professionalism, and discretion.
- Communicate effectively with attorneys, staff, clients, and outside advisors.

Pay: $130,000.00 - $175,000.00 per year
