Position Summary
The Clinical Operations Supervisor, West Coast is the senior KaiCare Ai clinical-operations presence during Pacific business hours. The role gives our medical assistants a first-line escalation point, owns account health for our West Coast cardiology program, and keeps CCM / RPM / RTM workflows running when East Coast leadership is off-shift.
Key Responsibilities
- First-line MA escalation — point of contact for medical assistants during Pacific hours on protocol, workflow, documentation, and device / connectivity questions; resolve what is resolvable and route what is not.
- Account health — own day-to-day health of the assigned cardiology account: patient engagement, device connectivity, adherence, and completeness of time-tracking documentation. Surface risks early.
- Direct caseload — carry approximately 20–30 patients performing supportive care-management activities, so the role stays fluent in the live workflow.
- Weekly escalation summary — report to the Director of Clinical Operations weekly on what came up, what was resolved, and which recurring issues need a permanent fix.
Scope & Supervision
This is an unlicensed clinical support role (Medical Assistant). All care activities are performed under the supervision of the applicable billing provider and within the Medical Assistant scope of practice of the patient's state — for example, California rules apply to California patients.
Anything requiring independent clinical judgment (assessment, triage, care-plan or medication decisions) is escalated to the patient’s treating practice, which holds the provider relationship and performs the billing.
KaiCare Ai will provide a documented after-hours escalation contact and pathway for each assigned account.
Required Qualifications
- Active Medical Assistant certification in good standing (CCMA, RMA, or CMA).
- Ability to work within California Medical Assistant scope-of-practice requirements.
- Availability to work 9:00 a.m. – 5:00 p.m. Pacific Time, Monday through Friday.
- Two or more years of experience in a clinical or care-coordination support role.
- Comfort working independently in a fully remote environment with distributed clinical teams.
- Proficiency with EHR systems and standard care-management or productivity tooling.
- Clear written and verbal communication with patients, practice staff, and clinical leadership.
Preferred Qualifications
- Prior lead or managerial experience overseeing a remote medical assistant team.
- Hands-on experience with CCM and RPM program requirements, including consent and time-tracking documentation; RTM experience a plus.
- Experience supporting cardiology, heart-failure, or other chronic-care specialty practices.
- Prior work with remote patient monitoring devices and connectivity troubleshooting.
