BenefitPackages.com Insurance Agency is a respected health insurance agency dedicated to helping clients protect what matters most. We take pride in providing dependable, personalized service and are seeking an Insurance Administrative Assistant & Client Services team member to support daily office operations and provide excellent service to our clients. This role is ideal for someone who is organized, proactive, eager to help, takes pride in their work, personable, and able to manage both administrative tasks and client communication with care and accuracy. This is an on-site position in Calabasas.
Minimum Qualifications
Required:
- Must currently reside within 10 miles of Calabasas, CA and be able to commute to the office daily
- Must have a valid driver’s license, current auto insurance, and reliable transportation
- Proficiency in Microsoft Excel, Word, and Outlook
- Strong written and verbal communication skills
- Friendly, polished, and professional phone manner
- Strong attention to detail and accuracy
- Positive attitude with the ability to problem-solve and work independently
- Ability to provide verifiable references
- Ability to pass a full background screening
Key Responsibilities
Responsibilities include, but are not limited to:
- Accurately enter and update client demographics, policy details, and related information within the agency database
- Review carrier portals for notices, updates, and past-due account activity
- Prepare and submit support tickets as needed for carrier, portal, or client service issues
- Manage client billing support, including monitoring billing notices, assisting with payment follow-up, and coordinating with insurance carriers on clients’ behalf when appropriate
- Generate reports, contact clients regarding time-sensitive matters, and document all follow-up activity thoroughly
- Download, organize, and file internal materials and agency documents in the appropriate systems
- Help mitigate policy lapse risk through timely client communication, diligent follow-up, and accurate recordkeeping
- Answer, screen, and route incoming calls with professionalism, discretion, and courtesy
- Maintain well-organized electronic filing systems, including proper labeling and archiving of documents
- Assist clients with routine service inquiries and provide general administrative support
- Prepare letters, reports, and outgoing correspondence as directed
- Maintain accurate logs of client communications, payments, and administrative activity
- Support the team with general administrative responsibilities and special projects as needed
