Overview
We are seeking a dynamic and highly organized Office Manager to lead the day-to-day operations of our busy office environment. This vital role combines administrative excellence with exceptional communication skills to ensure smooth office functioning, efficient workflow, and outstanding support for staff and clients alike. DUTIES:
Answers telephone and greets office visitors, responds to inquiries, provides information and assistance, takes messages, and/or directs calls to appropriate individual or department. Maintains daily log of client inquiries and updates office calendar with Educator’s calendar.
Maintains bookkeeping and accounting operations for Extension Office and other operations as required. Prepares annual budgets, including completing required budget forms and Purdue University bookkeeping forms. Writes and records checks, prepares and processes claims, balances books, reconciles bank statements, sells items, and collects monies from the public.
Monitors Department inventories of office supplies and equipment. Processes purchase requests from County Educators, comparing prices and completing purchase orders accordingly.
Assists Educators with preparation of grant forms, inventory, and various monthly and annual reports, as needed.
Prepares, types, and/or processes a variety of letters, new release forms, mileage forms, electronic mail, manuals, reminder notices, and other correspondence. Processes program enrollments and related information and updates computer records. Maintains County and Purdue Extension accounts.
Prepares and mails correspondence, newsletters, booklets, flyers, 4-H manuals, publications for 4-H, Health Human Sciences (HHS), Agriculture and Natural Resources (ANR), and updates County Fair book, and other materials. Assists with County Fair correspondence, publicity, and fair results.
Maintains Civil Rights files per Purdue University and Federal Government requirements. Prepares annual ES237 Federal Report for 4-H for Purdue University.
Enters information into database, updates mail lists, and files documents for all program areas. Assists with application and screening process for new 4-H volunteers and annual 4-H volunteer applications.
Ensures proper maintenance of Department files, including updating publications, reviewing newspapers, and clipping and filing articles related to Extension Service. Purges files, as directed. Stays current on changes to Purdue Extension Services.
Updates staff regarding computer changes. Attends computer training workshops and updates Purdue Extension Brown County web page.
Supervises temporary summer personnel, including providing training/assistance and assigning jobs and hours.
Prepares annual Extension Board program booklet. Attends staff meetings, recording meeting minutes and forwarding copies to District Director. Attends Area Secretarial meeting.
Performs related duties as assigned.
Pay: $38,985.00 per year
