We are looking for a motivated Construction Bookkeeper to join our accounting team. This is an entry-level role perfect for someone who is highly organized and looking to grow their career in construction finance. You will be responsible for the daily "heavy lifting" of data entry, ensuring our project costs are accurately recorded in QuickBooks and tracked within Procore. In this role, you will act as a strategic partner to our project managers, ensuring that every job is accurately costed, billed, and tracked for maximum profitability. You will be responsible for everything from initial budget creation to final project closeout.
Key Responsibilities
- Data Entry: Accurately enter subcontractor invoices and material receipts into QuickBooks, ensuring they are assigned to the correct project and cost code.
- Procore Assistance: Assist Project Managers in uploading contracts and change orders into Procore and flagging any sync errors with QuickBooks.
- Accounts Payable Support: Help prepare weekly check runs and verify that invoice totals match purchase orders.
- Administrative Support: Maintain digital project folders and assist the Senior Accountant with basic bank reconciliations and month-end filing.
- Job Costing & Budgeting: Collaborate with project managers to establish detailed budgets and track expenditures against cost codes to identify and mitigate overruns.
- Progress Billing & AR: Prepare and submit monthly progress billings (G702/703) using the percentage-of-completion method.
- Audit Support: Maintain meticulous records for internal and year-end audits, including reconciling general ledger accounts.
- Whip Schedule Support: assist with items requests by CPA as needed for the monthly financial review by outsourced firm.
Required Qualifications
- Education: Associate’s degree in Accounting/Business OR 1–2 years of relevant office experience.
- Software Skills:
- QuickBooks: Basic experience with data entry and navigating the platform (QuickBooks Online or Desktop).
- Procore: Familiarity with Procore is a major plus, but we are willing to train someone with strong technical aptitude.
- Excel: Ability to use basic spreadsheets to track lists and simple totals.
- Attributes:
- Extreme attention to detail (you catch the small typos).
- A "helper" mentality—willing to take on various tasks to support the accounting department.
- Basic understanding of "Debits vs. Credits."
Preferred Skills
- Previous experience in an office setting for a General Contractor or Subcontractor.
- Knowledge of how a "Job Cost" differs from a standard expense.
Technical Proficiency:
- Expertise in construction ERP software like [Sage 300 CRE, Viewpoint, or Procore].
- Advanced Microsoft Excel skills (VLOOKUP, Pivot Tables, financial modeling).
- Knowledge: Deep understanding of GAAP as it relates to construction contracts and revenue recognition.
Pay: $62,000.00 - $82,000.00 per year
