We are seeking a proactive and compassionate Client Care Coordinator to serve as the primary point of contact for our patients and clients. In this vital role, you will help shape the client experience from the very first interaction—coordinating scheduling, managing records, and ensuring seamless communication between clients, providers, and insurance partners. Schedule and Work Style
This role will begin at approximately 15 hours per week, with the possibility of expanding as client inquiries and practice needs grow. The schedule can include flexible response blocks during business hours, but timely communication and reliable follow-up are required.
Important: This role is not a clinical position. The Client Care Coordinator does not provide therapy, clinical advice, diagnosis, crisis assessment, or treatment recommendations.
Work Location:
This is a hybrid remote position based in San Diego, CA. Most duties will be completed remotely, including responding to inquiries, scheduling consultations, coordinating intake paperwork, and communicating with prospective clients. Occasional in-person meetings, trainings, or team collaboration may be required in San Diego County.
Applicants should be local to San Diego County or able to attend occasional in-person meetings as needed.
Key Responsibilities:
- Be the friendly first point of contact for new clients, responding to calls, emails, and messages with warmth and professionalism.
- Help clients feel comfortable and supported from their first interaction with the practice.
- Schedule consultation calls and intake appointments, helping match clients with the right therapist.
- Answer general (non-clinical) questions about services, fees, paperwork, and what to expect.
- Assist clients with completing intake forms and follow up when needed to keep the process moving smoothly.
- Verify insurance coverage and help explain basic billing and payment processes.
- Keep client information organized and up to date in our electronic records system (SimplePractice).
- Track inquiries, referrals, and appointment progress.
- Work closely with therapists and team members to support scheduling and client needs.
- Support general administrative tasks and help keep operations running smoothly.
- Know when to escalate more complex or clinical concerns to the Clinical Director.
Preferred Qualifications & Skills:
- High school diploma required; bachelor’s degree in psychology, social work, or related field preferred.
- Bilingual in Spanish is a plus.
- Interest in mental health, behavioral health, or healthcare.
- Friendly, approachable personality with strong communication skills, with sensitivity to diverse populations.
- Ability to build rapport quickly and make others feel at ease.
- Organized and detail-oriented, with the ability to multitask.
- Basic familiarity with computers and willingness to learn systems like SimplePractice.
- Experience with insurance, billing, or administrative work is helpful but not required.
- Social media familiarity is a bonus.

Pay: $20.00 - $22.00 per hour
