Our client, a Global Medical Device Manufacturer, has an immediate opening for a Program Communications and Scheduling Specialist for an 18-month contract.
Develops and implements strategies and programs to communicate the company’s business objectives, culture and values to its employees. Partners with Project Management and other departments to plan, develop, implement, and evaluate strategic internal communications. Designs, edits and oversees distribution of internal communication materials via company newsletters, intranet, emails/memos, webcasts, employee meetings, etc. Develops standards and guidelines for style and content. Evaluates fit with target audience to ensure comprehension. Implements metrics to evaluate effectiveness of communication plan delivery. Selects, develops, and evaluates personnel to ensure the efficient operation of the function. Please submit a work sample/PPT presentation with resume at time of submittal.
Role is 100% remote with standard work hours being ET Zone. Candidate can sit anywhere in the contiguous 48 of US States.

Key Responsibilities
- Support communications and coordination activities for a large-scale ERP implementation, launch, and post-deployment program.
- Develop, coordinate, and distribute program communications, including newsletters, organizational announcements, training communications, program updates, and other internal messaging.
- Partner with ERP program leaders, project teams, and the training team to ensure communications are accurate, timely, and aligned with program milestones.
- Coordinate training schedules, sessions, invitations, and communications for employees and other key stakeholders.
- Support training administration through Learning Management Systems (LMS) and compliance training platforms, including ComplianceWire or similar systems.
- Track training activities, completion requirements, schedules, and communication needs throughout ERP deployment.
- Manage complex calendars and training schedules while identifying conflicts, gaps, and potential scheduling issues before they impact program activities.
- Create and distribute training announcements, reminders, schedule changes, and follow-up communications.
- Provide administrative and coordination support for organizational charts, team structures, distribution lists, and other program documentation.
- Monitor and manage shared program or communications mailboxes, ensuring inquiries and action items are routed and addressed appropriately.
- Support communications planning and execution before, during, and after ERP deployment.
- Coordinate across multiple projects and workstreams, flexing priorities based on changing program needs and deadlines.
- Maintain clear visibility into assignments, deadlines, priorities, and upcoming deliverables.
- Proactively communicate workload, project status, risks, scheduling concerns, and competing priorities to program leadership.
- Work effectively with multiple leaders and stakeholders, balancing direction and priorities from two or more managers.
- Utilize Microsoft Outlook and Teams extensively for scheduling, meetings, communications, and cross-functional collaboration.
- Assist with additional program communications, project coordination, and administrative activities as needed.
Qualifications
- Bachelor's degree in Communications, Business Administration, Marketing, Project Management, or a related field preferred.
- Previous experience in corporate communications, internal communications, program coordination, project coordination, training coordination, or a similar role.
- Experience supporting a major ERP implementation, system deployment, transformation initiative, or large-scale organizational program is highly preferred.
- Strong written and verbal communication skills with the ability to create clear, professional communications for a variety of audiences.
- Experience coordinating training programs, training schedules, or large volumes of employee training activities.
- Familiarity with Learning Management Systems and training administration.
- Experience with ComplianceWire is highly preferred.
- Strong proficiency with Microsoft Outlook and Microsoft Teams, particularly calendar management, meeting coordination, and communications.
- Excellent organizational and time management skills with exceptional attention to detail.
- Ability to manage multiple projects, deadlines, and changing priorities in a fast-paced environment.
- Comfortable working independently in a 100% remote environment.
Pay: $55.00 - $57.00 per hour
