Job Summary
We are seeking a dedicated and compassionate Veterinary Receptionist to join our team. This role is crucial in providing exceptional customer service to pet owners while assisting our veterinary staff in ensuring the health and well-being of animals.
The ideal candidate will have a strong background in animal care, familiarity with veterinary terminology, and excellent communication skills to handle clients, pets, scheduling, payments, and day-to-day front desk responsibilities effectively. This position also includes routine client follow-up, appointment reminders, recalls, and recheck communication to help ensure patients receive timely care and clients stay informed.
Responsibilities
- Greet clients and their pets with warmth and professionalism upon arrival.
- Schedule appointments, manage the calendar, and assist with appointment reminders, recalls, and recheck follow-ups.
- Manage phone calls, emails, texts, and client inquiries regarding services, appointments, and general hospital information.
- Follow up with clients as needed regarding upcoming appointments, missed appointments, pending recommendations, medication refills, lab results, rechecks, and treatment plan next steps.
- Document client communications accurately in the patient record.
- Handle medical collections and process payments efficiently.
- Maintain accurate patient and client records, including medical history, contact information, reminders, and treatment plans.
- Assist veterinary staff with animal handling during examinations and procedures when appropriate.
- Provide information to clients about pet care, services offered, and health recommendations, while escalating medical questions to the veterinary team when needed.
- Help identify urgent or medically concerning client communications and notify the appropriate team member.
- Ensure the reception area is clean, organized, and welcoming for clients.
- Support kennel operations as needed, including animal restraint and care.
Qualifications
- Previous experience in a veterinary setting is preferred; familiarity with veterinary terminology is essential.
- Knowledge of animal anatomy to assist in client education.
- Experience with medical collections and administrative tasks within a healthcare environment.
- Comfort with client communication by phone, email, and text.
- Ability to manage follow-up tasks, reminders, and scheduling details accurately.
- Skills in animal handling a plus.
- Understanding of aseptic techniques and laboratory procedures is a plus.
- Ability to handle animals safely and compassionately during examinations or treatments.
- Strong interpersonal skills to communicate effectively with clients and team members.
