Summary
The Administrative Assistant in the Loan Operations department performs critical administrative and operational functions to support accurate document imaging, secure retention of original loan files, timely processing of incoming mail, and accurate posting of loan payments received by mail to customer accounts. This role requires strong attention to detail, dependability, and the ability to handle sensitive customer information with a high degree of confidentiality and accuracy.
Specific Job Functions

General Administrative Assistant Duties:

Provide administrative and clerical support to assigned departments, managers, or teams.

Prepare, maintain, and organize documents, records, and other business information in accordance with company policies and procedures.

Process and distribute correspondence, mail, and other communications in a timely and professional manner.

Support day-to-day office operations and assist with special projects and other duties as assigned.

Loan Operations Specific Duties:
-
Travel to the post office twice a day to retrieve and/or deliver bank mail as assigned while maintaining chain of custody for sensitive mail items.

Package and prepare outgoing mail (standard, certified, overnight) while following bank procedures and required documentation.

Sort, record, and route incoming mail to appropriate internal recipients.

Open, record, process, and post mailed loan payments (checks, coupons, remittance stubs).

Prepare, scan, and file loan related documents into the bank’s content management system.

Verify image quality, completeness, and indexing to ensure documents are searchable.

File and maintain original loan documents in accordance with internal recordkeeping standards.

Create required file labels and files for the storage of various documents.
Minimum Job Requirements
-
High school diploma or equivalent is required.

0 – 3 years of administrative, clerical, customer service, or office support experience.

Experience in banking operations, loan servicing, document imaging, records management, or a related field preferred.

Reliable transportation.

Strong interpersonal communication.

Strong organizational and time management skills.

Strong computer, keyboard, and software application (Microsoft Word and Excel) skills.
