The Fleet Operations Support role is a hands-on, operational position that ensures fleet readiness by managing parts availability, supporting maintenance activities, and coordinating with vendors and internal teams. This role serves as a critical link between technicians, vendors, and fleet administration by maintaining accurate inventory, expediting parts procurement, and supporting daily maintenance operations to reduce downtime and improve efficiency.
Focused on execution and operational support, the Fleet Support position enables field productivity by ensuring the right parts, tools, and materials are available when needed. This role directly contributes to vehicle uptime, cost control, and maintenance efficiency while supporting compliance with safety and operational standards.
Parts & Inventory Management:

Manage inventory of fleet parts, tools, and consumables across maintenance locations.

Monitor stock levels, establish reorder points, and ensure timely replenishment of critical components.

Receive, inspect, and distribute parts to technicians to minimize equipment downtime.

Track part usage, warranties, returns, and core exchanges.

Maintain accurate inventory data within fleet or ERP systems.
Maintenance & Operational Support:

Support technicians and fleet teams with parts sourcing, availability, and order tracking.

Assist in coordinating external repairs, service appointments, and vendor support.

Help track work orders, service updates, and maintenance documentation.

Ensure tools and supplies are organized, accessible, and maintained properly.
Vendor & Procurement Coordination:

Coordinate with suppliers, dealerships, and service providers for parts ordering and delivery.

Assist with purchase order creation, invoice processing, and warranty claims.

Support vendor performance tracking, including pricing, lead times, and service quality.
Documentation & Reporting:

Maintain service records, work orders, and parts documentation.

Track maintenance costs and assist in compiling budget-related data.

Generate reports on inventory usage, trends, and cost analysis.

Support audits and compliance reviews through accurate recordkeeping.
Safety & Compliance Support:

Ensure proper handling, storage, and disposal of parts and materials.

Support compliance with DOT, OSHA, and company safety policies.

Promote safe work practices in shop and warehouse environments.
Education:

High school diploma or equivalent required.

Associate degree or technical training in automotive, diesel, or related field preferred.
Experience:

Minimum of 2 years of experience in fleet maintenance support, parts management, automotive, or heavy equipment environment.

Experience working in a shop, warehouse, or field operations setting.
Skills & Abilities:

Strong working knowledge of vehicle or equipment parts and maintenance processes.

Organizational skills with the ability to manage inventory and multiple priorities.

Basic proficiency with inventory management systems and Microsoft Office (Excel, Outlook).

Strong communication and problem-solving skills.

Ability to work in a fast-paced, operational environment.
Licenses / Certifications:

Valid driver’s license preferred.
Required Training:

Company safety and compliance training upon hire.

Training on fleet systems, inventory tools, and procurement processes.

Ongoing safety and operational training as required.

Experience with fleet management or inventory systems (e.g., Fleetio, RTA, Samsara).

Knowledge of DOT compliance and fleet maintenance standards.

Automotive or diesel parts certification.

Experience supporting medium to large fleets (50+ vehicles).

Familiarity with vendor management and procurement processes.
