We are seeking a motivated, organized, and detail-oriented Administrative / Human Resources Assistant to support our office operations and HR functions. The ideal candidate is professional, dependable, and enjoys working in a fast-paced environment while maintaining confidentiality and providing excellent customer service.
Pay
$22.00 – $25.00 per hour, depending on experience.
Position Summary
The Administrative / HR Assistant provides administrative support to the office while assisting with human resources functions, including recruitment, onboarding, employee recordkeeping, payroll support, and compliance. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with employees, applicants, clients, and community partners.
Essential Administrative Responsibilities
- Answer and direct incoming telephone calls professionally.
- Greet visitors and provide excellent customer service.
- Manage office mail, supplies, and filing systems.
- Schedule meetings, appointments, and maintain office calendars.
- Prepare correspondence, reports, meeting notes, and other office documents.
- Maintain electronic and paper filing systems.
- Enter and track client and office data using Microsoft Office and other software applications.
- Assist with special projects and other administrative duties as assigned.
Human Resources Responsibilities
- Post job advertisements and monitor employment sites.
- Screen applications and coordinate interviews.
- Assist with hiring, onboarding, and employee orientation.
- Prepare and maintain confidential employee personnel files.
- Ensure employee records remain current and compliant with company policies and regulatory requirements.
- Track employee hours and assist with payroll preparation.
- Process new hire paperwork and employment documents.
- Support employee training, compliance tracking, and required certifications.
- Assist with general HR inquiries while maintaining confidentiality.
Qualifications
- High school diploma or GED required.
- Associate's degree or college coursework in Business Administration, Human Resources, or a related field is preferred.
- One to two years of administrative or human resources experience required.
- Experience in home care, healthcare, or a related field is highly preferred.
- Proficiency with Microsoft Office (Word, Excel, Outlook) or Google Workspace.
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Ability to maintain strict confidentiality of employee and client information.
- Professional, dependable, and customer-service oriented.
Preferred Skills
- Experience with electronic health records or home care software.
- Knowledge of California employment practices and HR compliance.
- Bilingual (English/Spanish) is a plus.
