Job Overview
We are seeking an organized, high-energy, and reliable Office Manager/Service coordinator to run the daily front-office operations of our semi-trailer repair shop. You will be the face and voice of our business, acting as the vital link between our fleet customers, owner-operators, and our shop technicians. The ideal candidate thrives in a fast-paced environment, possesses excellent communication skills, and has a strong handle on service-industry invoicing and payment collection.
Key Responsibilities
- Customer Service & Phone Management: Answer incoming calls promptly. Answer customer inquiries, schedule repair appointments, and provide status updates on trailers currently in the shop.
- Work Order Creation: Listen to customer issues and translate them into detailed, accurate work orders for our diesel technicians and trailer mechanics.
- Invoicing & Billing: Turn completed work orders into final invoices. Ensure all parts used, labor hours logged, and shop supplies are accurately billed according to company rates.
- Payment Collection: Process cash, credit card, and check payments. Manage collections for fleet accounts, issue receipts, and follow up on outstanding or overdue invoices.
- Administrative Support: Maintain organized digital and physical customer files, track office supplies, and assist management with basic bookkeeping or reporting as needed.
Qualifications & Skills
- Experience: 2+ years of experience in an office management, service writer, or administrative role (experience in automotive, heavy-duty truck/trailer repair, or logistics is a massive plus).
- Industry Knowledge: Familiarity with heavy-duty trailer parts, maintenance terminology, or shop management software is highly preferred.
- Communication: Exceptional verbal and written communication skills with a professional, customer-first attitude.
- Multitasking: Ability to handle ringing phones, walk-in customers, and technician questions simultaneously without losing attention to detail.
- Tech-Savvy: Proficient with computers, email, and digital invoicing/POS systems.
Pay: $46,000.00 - $55,000.00 per year
