Job Summary
We are seeking a dependable and detail-oriented Accounts Payable and Administrative Assistant to support our accounting department and provide general administrative assistance to the office. This position is responsible for day-to-day accounts payable activities, maintaining accurate vendor and accounting records, assisting with documentation and reporting, and providing administrative support as needed.
Key Responsibilities - Accounts Payable
- Process vendor invoices accurately and timely.
- Match invoices to purchase orders, receiving documentation, and other supporting records.
- Review invoices for proper approval, coding, quantities and pricing.
- Enter invoices and other transactions into the company's ERP / accounting system.
- Maintain accurate vendor records and supporting documentation.
- Review vendor statements and research discrepancies.
- Communicate with vendors regarding invoices, payments, credits, and account questions.
- Assist with obtaining and maintaining vendor W-9 forms and other required documentation.
- Maintain organized electronic and physical accounting records.
Key Responsibilities - Administrative Support
- Perform general data entry and maintain company records.
- Scan, file, organize and retrieve documents.
- Assist with incoming mail and correspondence.
- Prepare spreadsheets, reports and other documents.
- Assist with purchasing and vendor documentation as needed.
- Provide general office and administrative support to accounting and management.
- Assist with special projects and other duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree in Accounting, Business Administration, or a related field preferred.
- 1-3 years of accounts payable, accounting, bookkeeping, or related office experience preferred.
- Experience in a manufacturing or industrial environment a plus.
- Proficiency with Microsoft Excel, Outlook and general Microsoft Office applications.
- Experience with ERP or accounting software preferred.
- Strong attention to detail, accuracy, organization and time-management skills.
- Strong written and verbal communication skills.
- Ability to handle confidential financial and business information appropriately.
- Ability to work independently while also supporting a team.
Pay: $23.00 - $27.00 per hour
