Job Summary
MCP is looking for a dedicated Administrative Assistant. The Administrative Assistant provides administrative support to all staff by collecting payment for services, answering/directing calls on a multi-line phone system, completing necessary typing, copying, and faxing, and maintaining accounting Quickbooks software, banking, and other records.
Duties and Responsibilities
- Answers telephone, takes messages and provides information/assistance as needed
- Opens store following proper procedure
- Maintain accounts by verifying, allocating, and posting transactions in Quickbooks
- Balance accounts by reconciling entries
- Maintain and balance general ledger in Quickbooks
- Maintain quality historical records by filing documents
- Prepare financial reports by collecting, analyzing, and summarizing account information
- Craft Accounts Receivable invoices, reviewing payments received and record deposits
- Greets visitors to the office and directs them as appropriate
- Collects payment for services and makes calls to customers in late status
- Composes and types routine correspondence using word processing and email software
- Performs various office processes such as faxing, collating, mail sorting.
- Scans, files, retrieves customer records
- Balances/pre-closes cash drawer
- Performs numerous functions within an electronic customer relationship software record such as collection of payments, balancing cash drawer, making deposits, scheduling and changing appointments.

- Experience working in a computerized office environment with Quickbooks, word processing, database and spreadsheet skills sufficient to prepare correspondence, reports, and forms, including the willingness to learn new software applications
