Position Overview:
Operations & Office Administrative Associate
Location: Newport Beach, CA (Full Time, In-Person, Monday–Friday)
We are seeking a highly organized and proactive Operations & Office Associate to join our growing team. This role blends front-office administration with back-office operations, offering an excellent opportunity for someone looking to build a career in the financial services industry.
You will play a key role in ensuring the smooth day-to-day functioning of the office while supporting operations, client service, and team initiatives.
Key Responsibilities
Office Administration & Client Experience
- Manage incoming calls with professionalism and a friendly demeanor
- Welcome and greet clients, maintaining a polished and inviting office environment
- Handle mail distribution and general office coordination
- Schedule appointments and prepare meeting materials, including reports, presentations, and documents
- Maintain office supplies and overall organization
Operations & Client Support
- Assist with day-to-day firm operations, including account administration and client onboarding
- Support client service activities such as account opening, money transfers, and inquiries
- Collaborate with custodians (e.g., Fidelity) and internal teams
- Ensure timely, accurate handling of client requests while maintaining confidentiality
- Perform data entry, filing, and document management with high attention to detail
- Support compliance-related tasks and stay informed on industry regulations
- Work closely with advisors, operations, and marketing teams to support firm initiatives
- Assist with marketing efforts, including webinars and client events
Qualifications
- Strong organizational and time management skills with the ability to multitask
- Excellent communication and interpersonal skills with a client-first mindset
- High attention to detail and accuracy in handling data and documents
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to work effectively in a collaborative, team-oriented environment
- High school diploma required; Bachelor’s degree in Finance, Business Administration, or related field preferred
- Experience in administrative or operations roles (financial services or RIA experience is a plus)
- Familiarity with custodial platforms (e.g., Fidelity) is preferred but not required
