About the role
Vital Education is seeking a highly organized, detail-oriented CPR Training Operations Coordinator to manage the administrative and operational details behind our CPR and safety training programs. This is not a basic scheduling role. The right person will become the central point of coordination between customers, students, instructors, training platforms, certification records, and billing.
The position is ideal for someone who enjoys keeping many moving pieces organized, communicates professionally, learns software quickly, and takes pride in closing the loop on every detail.
What you will do
- Learn and work within multiple CPR/safety training curricula and their associated online platforms.
- Issue the correct online training assignments and certification cards.
- Schedule training sessions and dispatch qualified instructors.
- Communicate professionally with instructors, customers, and students by phone and email.
- Provide course instructions, confirm required information, and resolve routine scheduling or documentation issues.
- Review completed training documentation for accuracy and completeness.
- Prepare invoices for completed training and ensure training records match services provided.
- Proactively follow up with customers who are due for recertification but have not yet scheduled.
- Organize and maintain electronic and physical records for each training.
- Follow through on missing information, instructor paperwork, course completion, and open customer items.
- Prepare equipment and supplies for instructor pick up and maintain equipment readiness.
- Order and maintain inventory of training supplies including books, cards, online training modules and class consumables.
- Post public classes on social media platforms and interact with inquiries.

- High school diploma or equivalent required; additional education or relevant experience in business administration, healthcare, education, training, or a related field preferred.
- Previous experience with CPR, first aid, healthcare training, certification programs, learning-management systems, scheduling, or office operations is preferred but not required.
Schedule & hybrid eligibility
This is a part-time daytime position based in Champaign, Illinois. The role is expected to average approximately 25 hours per week, primarily Monday through Friday. New employees should expect to work primarily on-site during training, approximately 90 days. After the employee demonstrates competency, accuracy, reliability, professional communication, and the ability to work independently, the position may be eligible for a regular partial-remote schedule. Remote work is not guaranteed and remains dependent on job responsibilities and performance.
