We are seeking a highly organized and dependable professional to serve as the first point of contact for our office while supporting administrative and bookkeeping functions critical to daily operations.
Position Overview
This role combines front desk coordination, administrative support, and bookkeeping assistance. The ideal candidate is detail-oriented, comfortable managing multiple priorities, and experienced with QuickBooks Online.
This position plays a central role in maintaining organized office operations and ensuring accurate, timely financial records.
Key Responsibilities:
- Front Desk & Customer Support
- Answer and route incoming calls professionally
- Greet customers, vendors, and subcontractors
- Manage office calendar and daily workflow
- Maintain an organized and professional office environment
Administrative Operations
- Maintain job files (digital and physical)
- Track contracts, permits, and compliance documentation
- Collect and maintain vendor W-9s and Certificates of Insurance
- Assist with internal reporting and document management
Bookkeeping Support (QuickBooks Online):
- Enter and accurately code vendor bills
- Coordinate with the field team to enter and maintain customer estimates and project quotes in QuickBooks Online
- Assist in the preparation and issuance of customer invoices
- Process accounts payable under management oversight
- Monitor accounts receivable aging and support customer payment follow-up
- Maintain organized financial documentation
- Assist with month-end and year-end close preparation
Qualifications and Requirements:
- 3+ years of office administration experience
- Strong attention to detail and organizational skills
- Working knowledge of basic accounting principles (AP/AR, expense coding, general ledger structure)
- Proficient in Microsoft Excel and Office Suite
- Experience with accounting or business management software (QuickBooks Online experience a plus)
- Clear and professional communication skills
- Comfortable working in a construction/trades environment
- Demonstrates high integrity and discretion in handling financial information
- This position is an on-site role, Monday through Friday 8am to 4pm.
Pay: $20.00 - $25.00 per hour
