TribaLights is a mission-driven behavioral health organization providing supportive housing, intensive outpatient services, community support services, peer support, and holistic wellness programming. We are growing rapidly and looking for an exceptional Executive Assistant to support the Co-Founder in managing day-to-day operations and administrative responsibilities.
This is a high-trust role for someone who thrives on organization, follow-through, problem-solving, and getting things done accurately the first time.
Position Overview
The Executive Assistant serves as the right hand to the Co-Founder, ensuring important tasks, deadlines, projects, appointments, and administrative responsibilities are completed efficiently and accurately.
The ideal candidate is highly organized, detail-oriented, proactive, trustworthy, and capable of independently handling a wide variety of administrative and operational tasks.
This is not a role for someone who requires constant direction or supervision. We are looking for someone who can take ownership, follow through, and create clarity amidst a fast-moving environment.
Responsibilities:
Executive Support
- Manage calendar, scheduling, and appointments
- Coordinate meetings and maintain action-item tracking
- Prioritize and organize competing tasks and deadlines
- Assist with email management and correspondence
- Prepare reports, documents, and presentations
Administrative & Operations Support
- Track vehicle registrations, insurance renewals, licenses, permits, and compliance deadlines
- Coordinate appointments with government agencies, vendors, and service providers
- Maintain organized digital and physical records
- Research information and provide verified findings
- Follow up with vendors, contractors, and partners
- Support special projects assigned by leadership
Errands & Authorized Representative Tasks
- Serve as an authorized representative for administrative matters when appropriate
- Handle document delivery, registrations, filings, and other operational errands
- Coordinate logistics for company vehicles and facilities
- Complete assigned tasks without requiring repeated follow-up
Qualifications
Required
- Exceptional organizational skills
- Strong attention to detail
- Reliable transportation and valid driver's license
- Excellent written and verbal communication
- Ability to handle confidential information with discretion
- Strong computer skills and proficiency with Google Workspace
- Ability to prioritize tasks and meet deadlines
- Proven track record of reliability and follow-through
Preferred
- Executive Assistant experience
- Operations or project coordination experience
- Experience in healthcare, behavioral health or social services environments
- Familiarity with state agencies, licensing, registrations, and compliance processes

After six months in this role:
- Leadership spends significantly less time tracking tasks and deadlines
- Administrative projects are completed accurately and on time
- Important renewals, registrations, and compliance requirements are proactively managed
- Information provided to leadership is accurate and verified
- Problems are identified and resolved before they become urgent
- Leadership feels confident delegating critical responsibilities
