About This Role
The Patient Care Coordinator is the first point of contact for patients and plays a vital role in creating a welcoming, seamless, and professional experience. This role is responsible for greeting patients, managing check-in and check-out processes, answering inquiries, scheduling appointments, processing payments, and supporting the daily operations of the practice.
Patient Care Coordinators are ambassadors of Gambhir’s values of accountability, teamwork, and respect, ensuring every interaction reflects our commitment to patient excellence and our “One Team” culture.
Key Responsibilities
- Provide a warm, professional, and efficient patient experience at check-in and check-out.
- Answer phone calls, emails, and patient inquiries promptly and courteously.
- Schedule, confirm, and update patient appointments across multiple providers and locations.
- Accurately process payments, maintain patient records, and ensure proper documentation in line with HIPAA standards.
- Support front office organization, including supply management, patient forms, and daily reporting.
- Communicate effectively with providers, clinical staff, and leadership to ensure smooth patient flow.
- Assist with patient education and promotion of services, products, and special offerings; contribute to positive patient reviews and overall brand reputation.
- Perform opening and closing protocols to maintain a clean, organized, and professional environment.
- Handle patient concerns with empathy and professionalism, escalating to management when appropriate.
- Travel occasionally to other Gambhir offices for training and support as needed.
- Contribute to a clean, welcoming, and organized office environment.
What You Offer
- 1–2 years of customer service, hospitality, or medical office/front desk experience preferred.
- Strong interpersonal and communication skills, with a friendly and professional demeanor.
- Ability to multitask in a fast-paced environment with accuracy and attention to detail.
- Comfort with technology and proficiency in scheduling systems, (Zenoti a plus) payment processing, and Google Suite.
- Demonstrated reliability, accountability, and commitment to teamwork.
- Experience in aesthetics, wellness, or healthcare environments a plus.
