Overview
WhyHorn Mgmt. LLC is a growing property management company affiliated with Yellow Horn Inc., a construction company. We are seeking an experienced, organized, and motivated Property Management & Office Administrator to support our property management operations while assisting with administrative and construction-related coordination.
This position is ideal for someone who enjoys working in a fast-paced environment, has strong bookkeeping and property management experience, and is interested in helping grow our property management portfolio by assisting with the acquisition and management of new properties.
Key Responsibilities
- Property Management
- Manage the daily operations of approximately 40 residential units (one 18-unit building, one 16-unit building, a duplex, a single-family house, and some other units)
- Advertise available units by posting listings and responding to prospective tenant inquiries.
- Process rental applications, conduct applicant follow-up, and coordinate move-ins, including key distribution.
- Maintain positive relationships with tenants and respond promptly to property-related concerns.
- Prepare and distribute Board of Directors notices and meeting communications.
- Prepare payment reminders, balance due notices, non-compliance notices, and other resident correspondence.
- Assist the Property Manager with all phases of property operations.
Accounting & Office Administration
- Process payroll for company employees using ADP.
- Perform bookkeeping and maintain accurate financial records.
- Collect and post rent payments; assist with accounts payable, monthly financial reports, and month-end closing procedures.
- Maintain organized office files and records.
Construction Administration
- Research and purchase materials for construction projects.
- Prepare and process purchase orders payments.
- Upload construction plans to government permitting websites.
- Prepare and process Notices of Commencement and permit documentation.
- Coordinate schedules with architects, engineers, inspectors, and subcontractors.
- Maintain inventory of company tools and equipment.
Qualifications
The ideal candidate will possess:
- Minimum of Three (3) years of experience in property management, bookkeeping, office administration, or a related field.
- Proficiency in QuickBooks (required).
- Experience with Microsoft Office, including Excel.
- Experience with property management software such as Buildium, AppFolio, etc.
- Strong bookkeeping and accounting skills.
- Excellent written and verbal communication skills.
- Outstanding organizational and multitasking abilities.
- Exceptional attention to detail.
- Professional appearance and demeanor.
- Friendly, outgoing personality with excellent customer service skills.
- Ability to work independently and in a fast-paced environment.
- Bilingual in English and Spanish (preferred).
- Valid Florida driver's license.
- Reliable transportation and the ability to commute to Miami, FL 33150.
Schedule
- Monday through Friday
- 8-hour shifts
- Occasional weekend availability as needed
Compensation
- Annual salary: $25-$30 based on experience.
