Position: Business Officer Manager
Reports to: Head of School
Assignment: Full Time/ 8 hrs. a day
Position Summary The Business Office Manager is responsible for supporting the financial, operational, and administrative functions of the charter school in coordination with the administration, outsourced accounting firm, and governing board. This position serves as a key liaison between school staff, external financial partners, and the school authorizer to ensure timely and accurate financial processing, compliance reporting, payroll coordination, procurement, and board support services. The ideal candidate will possess strong organizational skills, attention to detail, professionalism, discretion with confidential information, and the ability to manage multiple priorities in a fastpaced educational environment. Essential Duties and Responsibilities Financial Operations & Accounts Payable Coordinate weekly accounts payable processing in partnership with the school’s outsourced accounting firm. Gather, organize, and maintain all invoices, employee reimbursements, purchase documentation, and credit card receipts. Review and code all business-related financial transactions, including both expenses and revenues, for submission to the outsourced accounting team. Ensure supporting documentation is complete, accurate, and submitted in a timely manner. Assist in maintaining organized financial records and documentation for audit and compliance purposes. Grant & Budget Tracking Track expenditures associated with grant-funded programs and awards. Maintain records to ensure grant expenditures align with approved grant budgets and allowable uses. Communicate grant-related financial activity and supporting documentation to the outsourced accounting firm. Payroll Coordination Collect and organize monthly employee timecard and payroll-related information. Collaborate with the outsourced accounting firm to support timely and accurate payroll processing. Assist employees and administration with payroll-related questions and documentation as needed. Human Resources & Administrative Support Participate in staff meetings to assist with operational and human resource support needs. Maintain personnel and business office records in accordance with confidentiality requirements and applicable regulations. Handle sensitive and confidential information with professionalism, discretion, and integrity. Procurement & Purchasing Coordinate procurement and purchasing of approved supplies, materials, and operational needs requested by school staff. Ensure purchasing processes align with school procedures and budgetary guidelines. Audit & Compliance Support Assist with the annual fiscal year-end audit process. Respond to requests for financial documentation and information from the outsourced accounting team and independent auditing CPA firm. Support compliance efforts related to financial reporting and operational accountability. Authorizer & Board Support Respond to requests and deadlines from the school authorizer, Colorado Charter School Institute (“CSI”), in a timely and professional manner. Monitor and manage notifications, reporting requirements, and deadlines through the Epicenter platform. Serve as board record keeper and recording secretary for governing board meetings, including preparation and maintenance of official board minutes and records. Qualifications Associate degree in Accounting, Business Administration, or related field preferred; or Minimum of four (4) years of comparable work experience in a business office or administrative support role. Experience working with accounting processes, accounts payable, payroll coordination, or school finance preferred. Strong organizational skills with the ability to manage multiple deadlines and priorities.
Compensation will be determined based on qualifications, experience, and demonstrated skills.
