Position Summary
The OPRA Records Clerk supports the Police Department in processing requests for government records under the Open Public Records Act (OPRA). This part-time position works directly with department staff to intake, track, and fulfill records requests within statutory deadlines, while safeguarding legally sensitive and exempt information. The position requires strong attention to detail, sound judgment, and the ability to maintain confidentiality while working with law enforcement records.
Examples of Duties
- Receive official records requests and log them into the municipality or agency's database, assigning tracking numbers and noting the strict statutory deadlines for compliance
- Coordinate with relevant departments (e.g., Police, Public Works, Tax Assessor) to locate requested files, while carefully redacting legally sensitive/exempt information (e.g., social security numbers, juvenile records, or ongoing investigation details)
- Notify requestors of the status of their requests, provide cost estimates for document duplication, and issue formal responses granting or legally denying access
- Maintaining organized files and a records log for all processed requests
- Assisting requestors with general questions and referring more complex or legally ambiguous requests to direct supervisor
- Supporting the Police Department with other general clerical and administrative functions related to records management
Minimum Qualifications
- High school diploma or GED
- Must be computer literate
- Must speak, read, and write the English language
- Strong organizational skills and attention to detail, with the ability to maintain confidentiality
- Familiarity with OPRA and records management practices preferred; training will be provided
