POSITION DESCRIPTION
Position Title: Kitchen and Volunteer Coordinator
POSITION SUMMARY
The Kitchen and Volunteer Coordinator oversees daily meal service operations for congregate dining and home-delivered meal programs serving older adults throughout Skagit County. This position coordinates volunteers, manages meal distribution, ensures compliance with food safety and sanitation standards, supports participant engagement, and helps maintain high-quality nutrition services. The Coordinator serves as a key point of contact for volunteers, meal participants, and staff while fostering a welcoming, inclusive, and customer-focused environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Volunteer Coordination and Supervision
- Recruit, interview, onboard, train, schedule, assign, and supervise volunteers supporting congregate meal service, kitchen operations, and home-delivered meal routes.
- Maintain volunteer records and ensure compliance with organizational policies and procedures.
- Provide ongoing training, guidance, recognition, and support to volunteers.
- Promote a positive, respectful, and inclusive environment for volunteers, participants, staff, and community members.
- Address volunteer concerns and assist with conflict resolution when needed.
Meal Service Operations
- Coordinate daily meal service for congregate dining and Meals on Wheels programs.
- Receive prepared meals and food products from the central kitchen and verify accuracy, quality, quantity, and temperature upon delivery.
- Coordinate meal packaging and distribution for home-delivered meal participants.
- Prepare and heat food items using commercial kitchen equipment, including ovens, steamers, and dishwashing equipment.
- Organize meal delivery routes and assign volunteers to routes.
- Deliver meals when volunteer coverage is unavailable.
- Oversee dining room setup, meal service, salad and soup bar preparation (when applicable), and cleanup activities.
- Ensure appropriate portion control and adherence to nutrition program guidelines.
Food Safety and Facility Management
- Maintain compliance with HACCP principles, food safety regulations, and applicablelocal, state, and federal health requirements.
- Monitor and document food temperatures during receiving, holding, service, cooling, andstorage processes.
- Maintain a clean, organized, and sanitary kitchen, dining room, storage, and food preparation environment.
- Ensure proper operation, cleaning, and maintenance of kitchen equipment and facilities.
- Monitor inventory levels and maintain appropriate food and supply stock.
Program Administration
- Place weekly meal orders for congregate, home-delivered, and frozen meals.
- Coordinate ordering, receipt, storage, and distribution of nutritional supplements and liquid meal products.
- Prepare weekly supply orders and maintain inventory records.
- Prepare and submit accurate monthly reports and required documentation in a timelymanner.
- Utilize program software to manage meal participant information, delivery routes, and reporting requirements.
- Communicate participant concerns, service needs, and referrals to the Nutrition Manager as appropriate.
Financial Accountability
- Receive, record, secure, and deposit participant contributions and donations in accordance with established cash-handling procedures.
- Maintain accurate records and supporting documentation for all transactions.
Communication and Customer Service
- Provide courteous, professional, and responsive customer service to participants, volunteers, staff, and the public.
- Communicate regularly with the Food Service Supervisor and Nutrition Manager regarding meal service needs, inventory requirements, participant feedback, andoperational concerns.
- Represent the Skagit Council on Aging and Skagit County in a professional and positive manner.
Team Support
- Assist with planning, organizing, and improving program operations.
- Provide instruction, support, and guidance to volunteers and coworkers.
- Contribute to a collaborative and positive workplace culture.
SUPERVISORY RESPONSIBILITIES
This position directly supervises and coordinates the work of volunteers participating in meal preparation support, dining room operations, and home-delivered meal services.
OTHER DUTIES
Perform related duties as assigned. Duties may vary based on operational needs and may include supporting other program areas, assisting with special events, or providing coverage during staff absences.
MINIMUM QUALIFICATIONS
Education and Experience
- High school diploma or GED required.
- Minimum six (6) months of food service, nutrition program, volunteer coordination,
- customer service, or related experience required.
- Experience working with older adults, volunteers, or community-based programs preferred.
- Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and abilities may be considered.
- REQUIRED KNOWLEDGE
- Food service operations and safe food handling practices.
- HACCP principles and applicable health and sanitation regulations.
- HIPAA guidelines and confidentiality requirements.
- Basic food preparation methods.
- Volunteer recruitment, engagement, and supervision practices.
- Customer service principles and conflict resolution techniques.
- Cash-handling procedures and basic recordkeeping.
- Computer applications including Microsoft Office, email, spreadsheets, and database
- systems.
REQUIRED SKILLS AND ABILITIES
- Maintain confidentiality and exercise sound judgment.
- Communicate effectively both verbally and in writing.
- Establish and maintain positive working relationships with participants, volunteers, staff, and community partners.
- Recruit, train, motivate, and supervise volunteers.
- De-escalate conflicts and respond appropriately to challenging situations.
- Operate commercial kitchen equipment safely and effectively.
- Organize, prioritize, and coordinate multiple tasks in a fast-paced environment.
- Work independently with minimal supervision.
- Demonstrate strong attention to detail and accuracy.
- Maintain accurate records and reports.
- Handle cash transactions accurately and responsibly.
- Use routing and program software to manage meal delivery operations.
- Meet deadlines and manage time effectively.
- Attend required meetings and training sessions.
- Lift, carry, and move materials as required.
LICENSES AND CERTIFICATIONS
- Valid Washington State Driver's License required.
- Current Washington State Food Worker Card required.
- Reliable transportation may be required.
WORKING CONDITIONS
Work is performed in office, kitchen, dining room, warehouse, and community settings. Duties involve frequent standing, walking, bending, reaching, lifting, carrying, and moving supplies andequipment. Occasional travel throughout Skagit County may be required for meal delivery,meetings, training, or participant support.
Pay: From $22.00 per hour
