Patient Experience Coordinator

This is much more than answering phones. As the first and last person every patient interacts with, you will play a vital role in the success of our practice. Schedule
Part-Time (Approximately 27 hours/week)
- Tuesday: 8:45 AM – 4:30 PM
- Wednesday: 9:45 AM – 4:00 PM
- Thursday: 8:45 AM – 4:30 PM
- Friday: 8:45 AM – 4:00 PM
A 30-minute unpaid lunch break is required each shift.
Responsibilities
As our Patient Experience Coordinator, you will be responsible for creating a seamless experience for every patient while helping our providers stay efficient throughout the day.
Daily Responsibilities
- Welcome every patient with warmth, professionalism, and enthusiasm.
- Check patients in and out efficiently.
- Answer incoming phone calls, texts, and emails promptly.
- Schedule, reschedule, and confirm appointments.
- Review the daily schedule to ensure every appointment has been confirmed.
- Ensure every patient has completed all required paperwork and consent forms prior to their appointment.
- Process payments and manage patient accounts.
- Maintain a clean, organized, and welcoming reception area.
- Assist providers with patient flow throughout the day.
- Keep retail displays clean, organized, and fully stocked.
- Help maintain office organization and cleanliness.
- Educate every single guest on skincare products, current promotions, monthly specials, memberships, and recommended treatment plans.
- Answer questions regarding treatments and guide patients toward booking complimentary consultations when appropriate.
- Assist with administrative tasks as needed.
Bi-Weekly Responsibilities
- Complete inventory counts every other Wednesday morning.
- Help monitor inventory levels and communicate products that need to be reordered.
Qualifications

- A team player who takes initiative.
- Passionate about aesthetics, skincare, beauty, and wellness.
Preferred but not required:
- Previous front desk, hospitality, retail, or medical office experience.
- Sales or customer service experience.
- Bonus if you have experience using the Boulevard booking system.
- Experience with Aesthetic Record is also a plus.
Compensation & Benefits
- Starting pay: $18/hour
- Opportunity for performance-based raises up to $20/hour
- Approximately 27 hours per week
