Summary
The Real Estate Paralegal is a hands on legal support role responsible primarily for preparing, reviewing, and managing commercial leasing agreements and related real estate documentation. In addition, the role requires cooperation and collaboration with the legal team as a whole on non real estate matters. This position is execution focused, with an emphasis on lease drafting, document coordination, and maintaining accurate legal and corporate records to support the Legal Department’s real estate and corporate initiatives.
Key Responsibilities (leasing focused):

Prepare, review, and revise commercial leasing agreements and related documents

Coordinate with internal teams regarding lease terms, revisions, and approvals

Track lease status, critical dates, and required follow up actions

Maintain organized files for all leasing documentation

Ensure accuracy and timely execution of leases and amendments
Additional Responsibilities:

Prepare closing documents for real estate and corporate transactions

Draft and file documents with various governmental jurisdictions
-
Draft, file, and maintain corporate documents, including formations, dissolutions, annual reports, consents, and organizational charts

Maintain Access database of 300+ entities

Draft and refine in
- house forms and property related documents

Manage intellectual property files
-
Track and gather litigation information for reporting purposes

Track and process legal billing invoices

Prepare and submit proofs of claim
-
Conduct legal research and assist with discovery or fact gathering as needed

Perform administrative functions such as filing, copying, and coordinating conferences and meetings

Facilitate communication between internal and external teams

Document processes and maintain accurate records

Submit accurate legal documents in a timely manner

Perform other duties as assigned
- Minimum 5 years of paralegal experience, preferably with a focus on commercial real estate, leasing, or contract administration

Bachelor’s degree or Associate’s degree with a paralegal certification

Experience preparing, reviewing, and managing commercial leasing agreements

Proficiency in MS Office (Word, Excel, Access)

Experience with Adobe Acrobat Professional preferred

Experience using legal research tools (LexisNexis, Westlaw) preferred
-
Prior experience supporting real estate, property management, or corporate legal departments is a plus

Strong understanding of commercial leasing terms, structures, and processes

Familiarity with real estate documents, property operations, and landlord/tenant requirements

Ability to review contracts for accuracy, consistency, and compliance with company standards

Excellent attention to detail and strong organizational skills, especially when managing multiple leases and deadlines

Ability to work in a fast paced environment with shifting priorities

Strong written and verbal communication skills for coordinating with internal teams, landlords, property managers, and attorneys
-
Ability to maintain confidentiality and exercise sound judgment

Proficiency with document management systems and maintaining accurate electronic and hard copy records

Ability to work independently while also collaborating effectively as part of a team
Physical Requirements:
Sitting, bending, carrying, standing, manual dexterity, reaching, visual acuity, driving, and occasional lifting up to 20 lbs.
