About the Role:
The Project Billing Analyst is responsible for managing and supporting the financial aspects of construction projects, including billing, cost analysis, and core accounting functions. This role oversees the full project billing lifecycle to ensure timely and accurate invoices, contract compliance, and reliable financial reporting.
The Project Billing Analyst partners closely with Project Managers and the Accounting team to verify contract terms, monitor project costs, reconcile job financials, and maintain accurate project data within the ERP system. This position plays a critical role in monitoring accounts receivable, supporting collections efforts, and ensuring steady project cash flow.
Success in this role requires strong attention to detail, the ability to manage multiple projects simultaneously, a solid understanding of construction contracts and billing requirements, and advanced proficiency in Excel for financial analysis and reporting.
What You’ll Do:
Project Billing & Invoicing:
- Prepare, review and process monthly pay applications, progress billings, and invoices in accordance with contract terms, schedules and percent complete.
- Generate, audit, and issue client invoices in a timely manner to ensure consistent cash flow.
- Prepare complete invoice packages with required supporting documentation or approval.
- Monitor and manage unbilled balances and work-in-progress (WIP), addressing gaining or outstanding items.
Contract & Cost Management:
- Communicate with Project Managers regarding contract change orders, and contract modifications impacting billing.
- Collaborate with Project Managers to verify billing data, approved costs, and change orders.
- Reconcile job costs to confirm appropriate billing and communicate over/under variances.
- Request, input, and code subconsultant, subcontractor, vendor and supplier invoices.
- Coordinate with Accounts Payable to ensure inclusion of billable AP vouchers and reimbursable expenses in billing periods.
Accounts Receivable & Collections:
- Monitor AR and aged client balances; support and purse collections as needed.
- Conduct audits of aged accounts and resolve discrepancies, including unbilled balances.
- Provide monthly billing accruals and reconcile AR accounts in accordance with Rauhorn standards.
- Report cash receipt application issues related to AR balances.
- Generate and distribute AR reports to project teams and leadership.
Financial Reporting & Analysis:
- Track, analyze, and report on the financial status of assigned projects.
- Identify risk, discrepancies, or variances impacting monthly financials.
- Analyze and resolve accounting issues to ensure accurate project reporting in compliance with contractual agreements and accounting standards.
- Provide Project Managers with timely financial reports and budget updates.
- Participate in progress meetings and cost review discussion to support project performance.
Requirements:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Minimum of 1-3 years of experience in billing, accounting, or a related role.
- Solid understanding of construction contracts, progress billing, and retention processes.
- Proven ability to meet time-sensitive deadlines and manage multiple priorities in a fast-paced environment.
- Proficiency in Excel with ability to create formula driven spreadsheets and troubleshoot errors.
- Able to work independently while also thriving in a collaborative, team-oriented environment.
- Excellent organizational skills with the ability to manage competing priorities.
