General Purpose
The Operations Coordinator plays a key role in supporting the day-to-day operations, organization, and infrastructure of Community Roots. This position works closely with the CEO and leadership team to maintain operational systems, improve organizational follow-through, and support the many moving pieces involved in a growing and complex organization.
This role is ideal for someone who enjoys organization, operational coordination, detail-oriented work, and helping systems function smoothly behind the scenes. The Operations Coordinator helps ensure tasks, communication, documentation, and operational responsibilities are completed consistently and efficiently while supporting a positive and connected organizational culture.
The right person is proactive, highly organized, dependable, emotionally mature, flexible, and able to balance operational structure with strong interpersonal communication and collaboration.
Essential Duties
Organizational and Administrative Coordination:
- Help maintain operational systems, workflows, and organizational processes
- Monitor and track operational tasks, deadlines, and follow-through
- Support Care Managers and leadership team with operational organization and maintenance of client and provider files, documentation, and operational systems
- Assist with provider onboarding, documentation collection, and maintenance of provider records
- Coordinate operational paperwork, forms, documentation, and tracking systems
- Ensure consistency, organization, and follow-through across operational processes
HR and Staffing Support:
- Manage day-to-day administrative coordination related to payroll, employee benefits, workers compensation, onboarding, and organizational tracking systems
- Assist with onboarding and offboarding processes
- Monitor staff training, certifications, and required documentation
- Coordinate hiring paperwork and onboarding tasks
- Maintain employee files and operational HR systems across the agency
- Assist with internal staff communication and coordination
Financial and Organizational Support:
- Assist with Medicaid billing processes, operational spreadsheets, tracking systems, and billing coordination
- Coordinate and process invoices, provider payments, reimbursements, and vendor communication
- Maintain accurate and organized operational records
- Maintain accurate client financial documentation, records, and operational follow-through related to representative payee services.
- Assist with communication and coordination with agencies such as Social Security, Medicaid and other benefits-related systems as needed
Executive and Team Support:
- Work closely with the CEO to support operational organization and follow-through
- Help manage information flow and communication across multiple operational areas
- Assist with project coordination and implementation support
- Support a collaborative, accountable, and connected team culture
Position Qualifications:
Required:
- Bachelor’s degree or equivalent professional experience in operations, administration, healthcare, nonprofit, project coordination, human services, or related fields
- Strong organizational and systems-thinking skills
- Ability to manage multiple priorities and shifting demands simultaneously
- Excellent written and verbal communication skills
- Strong follow-through and attention to detail
- Ability to work independently while also collaborating closely with a team
- High level of professionalism, discretion, and emotional maturity
- Proficiency with Google Workspace and Microsoft Office
Preferred:
- Experience in healthcare, disability services, Medicaid-funded services, nonprofit operations, or human services
- Experience supporting operations, administrative systems, or organizational coordination
- Experience supporting leadership teams or coordinating operational processes
- Familiarity with compliance-oriented environments
Work Environment
Regular working hours are Monday through Friday during business hours, with occasional flexibility needed based on organizational needs. This position is hybrid remote, with a combination of work-from-home and in-person meetings or operational support within the community as needed.
