Position Overview
Huntington Learning Center is seeking a highly organized, professional, and energetic Office Manager to oversee daily center operations and serve as a key point of contact for students, families, and staff. This role is critical to ensuring a smooth, welcoming, and efficient learning environment while driving operational excellence and supporting student success.

Key ResponsibilitiesScheduling & Operations
- Manage and maintain student and tutor schedules to maximize center efficiency
- Coordinate academic sessions, evaluations, and staffing needs
- Ensure smooth daily operations of the center, including opening/closing procedures
Academic Evaluations
- Conduct academic evaluations with prospective students
- Schedule families to review academic evaluation results
- Collaborate with leadership to support enrollment and program recommendations
Accounts Receivable
- Manage billing, payments, and account balances
- Process credit card transactions and follow up on outstanding balances
- Maintain accurate financial records and ensure timely collections
File & Data Management
- Organize and maintain student files (digital and physical)
- Ensure accuracy, confidentiality, and compliance with company standards
- Track student progress data and maintain clean reporting systems
Parent & Customer Communication
- Serve as the primary point of contact for parents and families
- Provide exceptional customer service through phone, email, and in-person interactions
- Proactively communicate scheduling updates, student progress, scheduling progress monitoring sessions, and general center information
Center Environment & Accountability
- Take ownership of the physical location, ensuring a clean, professional, and welcoming environment
- Maintain supplies, materials, and overall organization of the center
- Support a positive, team-oriented culture among staff and students
Community & Marketing Support
- Participate in offsite marketing and community events on occasion (school events, local fairs, partnerships)
- Represent the center in a professional and engaging manner within the community
Work Schedule & Availability Requirements
- Full-time position requiring flexible availability
- Must be available for daytime, evening, and weekend hours (rotating requirements)
- Typical schedule includes a mix of:
- Daytime administrative and operational responsibilities
- Afternoon/evening peak student hours
- Weekend hours to support evaluations, progress monitoring, student schedules and family availability
- Schedule may vary based on center needs and seasonal demand
Qualifications
- Bachelor’s degree preferred
- Prior experience in office management, education, or customer service environment
- Proven record of professionalism, organization, and reliability
- Strong communication and interpersonal skills
- Ability to manage multiple priorities with attention to detail
- Comfortable with scheduling systems, billing platforms, and basic office technology
