Job Description
The Office Administrator oversees the office's daily administrative operations and provides support to management, engineering teams, customers, and vendors. This position plays a key role in ensuring efficient office operations by coordinating purchasing activities, maintaining documentation, supporting ERP processes, and serving as the primary point of contact for general office communications. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities in a fast-paced engineering environment. Professional proficiency in both English and Mandarin is required to support business communications with Taiwan-based teams and partners.
RESPONSIBILITIES
- Manage daily office administrative operations to ensure efficient business functions.
- Coordinate office purchasing, including office supplies, equipment, furniture, and general consumables.
- Issue purchase orders and maintain purchasing records.
- Support ERP system administration, data entry, and related office processes.
- Answer incoming phone calls, respond to emails, and serve as the primary point of contact for customers, vendors, and visitors.
- Coordinate communication with Taiwan headquarters, customers, and suppliers.
- Maintain office filing systems, contracts, invoices, and company documentation.
- Schedule meetings, travel arrangements, and company events as needed.
- Prepare reports, correspondence, presentations, and other business documents.
- Provide administrative support to management and engineering teams.
- Perform other administrative duties and special projects assigned by supervisors
Required Qualifications
- Associate degree or higher in Business Administration, Office Administration, or a related field.
- Minimum one (1) year of office administration or administrative support experience.
- Professional proficiency in both English and Mandarin (spoken and written) is required because this role regularly communicates with Taiwan-based engineering teams, vendors, and business partners, and must review technical and business documents in both English and Mandarin.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Strong organizational, multitasking, and time management skills.
- Excellent verbal and written communication skills.
- Strong attention to detail and ability to maintain accurate records.
- Ability to work independently and as part of a team.
- Professional and customer-focused attitude.
Preferred Qualifications
- Experience working with ERP systems.
- Experience with purchasing, vendor coordination, or document control.
- Experience supporting engineering, manufacturing, construction, or other technical business environments.
- Familiarity with office policy development and document management.
