We are seeking a professional, organized, and computer-savvy Administrative Assistant to support daily operations for a small tourism business. This position is ideal for someone who enjoys working with guests, managing details, and helping keep office systems, bookings, communications, and events running smoothly.
Key Responsibilities
- Answer phone calls and respond to emails in a professional and welcoming manner.
- Manage reservations, scheduling, booking changes, cancellations, and guest follow-up using booking software.
- Keep bookings accurate and up to date for individual guests, travel agents, tour companies, and partner organizations.
- Use Square for payments, refunds, merchandise sales, and related transaction support.
- Assist with QuickBooks, receipts, records, and basic bookkeeping support.
- Manage merchandise inventory, including in-person sales displays and online store orders.
- Maintain employee records, staff contact information, training records, schedules, and confidential files.
- Support social media and marketing efforts, including Facebook and Instagram updates.
- Assist with marketing, creating graphics, flyers, event promotions, and online marketing materials as skills allow.
- Help coordinate weekly summer events, including communication, reservations, promotion, and setup details.
- Keep digital files, calendars, spreadsheets, and office records organized and current.
- Communicate clearly with owners, staff, vendors, musicians, travel partners, and guests.
- Other duties as assigned.
Desired Skills and Qualifications
- Strong computer skills and confidence using online systems, email, calendars, spreadsheets, and digital files.·
- Experience with Peek, Square, QuickBooks, online stores, or social media platforms is helpful.·
- Excellent attention to detail and the ability to manage multiple tasks.·
- Strong written and verbal communication skills.·
- Previous experience in administration, customer service, tourism, hospitality, retail, or events preferred.·
- Basic graphic design or visual marketing skills are a plus.·
- Dependable, independant, trustworthy, flexible, and comfortable working in a small-business environment.·
- Able to handle guest, employee, and business information with care and confidentiality.
