Position Overview:
As a part-time (24 hours/week) Admitting Receptionist / Medical Records Clerk, you are the face and voice of our patient experience. Whether greeting guests warmly at the front desk or managing incoming phone calls, you will deliver friendly, professional, and consistent customer service to everyone who interacts with our facility. This highly visible role requires exceptional communication, strong interpersonal skills, and sharp organization to provide top-tier administrative and medical records support.
QUALIFICATIONS
- Communication & Language: Excellent written, verbal, and interpersonal communication skills in American English are required to effectively manage phone calls, register patients, and collaborate with physicians (bilingual skills are a strong plus).
- Experience: 2+ years of clerical or medical office experience preferred.
- Certification: Must obtain Basic Life Support (BLS) certification within 6 months of employment (facility-provided training).
- Technical Skills: Proficiency in using computers, Electronic Medical Records (EMR) software, and standard business office equipment.

- Vision & Hearing: Requires visual and auditory acuity adequate to monitor patient/visitor activity in the lobby, use computers frequently, and operate office equipment.
- Stationary Position: Prolonged periods of sitting at a desk and working on a computer (up to 8 hours per day).
- Movement: Occasional walking, standing, bending, reaching, and lifting up to 15 pounds.
- Occupational Exposure: Category III exposure to bloodborne pathogens; may occasionally encounter chemical hazards. Compliance with facility safety protocols and standard precautions is required.
ESSENTIAL DUTIES & RESPONSIBILITIES
Patient Reception & Communication
- Welcome patients, physicians, and guests with a professional, helpful attitude.
- Manage incoming phone calls by routing them efficiently or taking accurate messages.
- Coordinate front lobby activities to keep the facility running smoothly.
- Contact patients directly to verify and update their demographic information.
Financial Support
- Present procedure cost estimates and communicate upfront payment requirements to patients.
- Collect patient payments, handle current/past balances, and issue accurate receipts.
- Prepare daily bank deposits adhering strictly to facility cash controls.
- Escalate complex financial or insurance issues to the Business Office Manager.
Medical Records & Administration
- Admit and register patients following established facility policies.
- Assemble patient chart forms and audit electronic medical records (EMR) for completion.
- Retrieve, download, and seamlessly transfer operative reports into the EMR system.
- Coordinate the collection, processing, maintenance, storage, retrieval, and distribution of patient medical records according to established policies.
- Handle incoming facility mail by opening and distributing it according to policy.
- Assume other clerical duties, responsibilities, and special assignments as directed by leadership.
