DSK Law is seeking an experienced Legal Billing Specialist to join our Orlando office and manage the firm’s legal billing, client billing, e-billing, invoicing, and accounts receivable (A/R) processes.
The Legal Billing Specialist will be responsible for preparing and reviewing attorney time and expense entries, processing monthly invoices, submitting electronic bills through client billing portals, researching billing discrepancies, and assisting with accounts receivable and collections.
The ideal candidate has 5+ years of billing experience, preferably within a law firm or legal services environment, and has experience with legal billing, attorney timekeeping, client billing guidelines, LEDES billing, e-billing systems, billing software, and accounts receivable.
This position requires exceptional attention to detail, strong Microsoft Excel skills, excellent organizational and communication skills, and the ability to manage multiple priorities while meeting strict monthly billing deadlines.
Responsibilities
- Prepare, review, and distribute monthly client pre-bills and invoices.
- Review attorney and staff time entries, expenses, costs, and billing information for accuracy and completeness.
- Process and manage legal billing and client invoicing in accordance with firm policies and client billing guidelines.
- Prepare and submit electronic invoices and e-bills through client billing portals.
- Process LEDES invoices and electronic billing submissions as required by clients.
- Review billing reports and identify billing errors, discrepancies, missing information, and timekeeping issues.
- Research and resolve rejected invoices, billing discrepancies, invoice adjustments, and client billing inquiries.
- Coordinate with attorneys, paralegals, and staff regarding billing adjustments, write-offs, discounts, credits, and corrections.
- Communicate with attorneys and staff regarding attorney timekeeping, billing deadlines, invoice status, and client billing requirements.
- Monitor accounts receivable, outstanding client balances, and past-due invoices.
- Assist with accounts receivable collections and client follow-up as needed.
- Communicate professionally with clients regarding invoices, account balances, payment status, and billing questions.
- Maintain accurate and organized legal billing, invoicing, and accounts receivable records.
- Generate and distribute billing and accounts receivable reports for attorneys and firm management.
- Reconcile billing information and assist with identifying and resolving discrepancies between billing and accounting records.
- Maintain confidentiality of client information, financial records, billing information, and other sensitive firm information.
- Meet established monthly billing and accounting deadlines.
- Perform other billing, accounting, and administrative duties as assigned.
Qualifications
- 5+ years of billing experience required; law firm billing or legal billing experience strongly preferred.
- Experience with legal billing, client billing, attorney timekeeping, invoicing, or accounts receivable.
- Knowledge of legal billing practices and client billing guidelines.
- Experience with e-billing, LEDES billing, and electronic invoice submission preferred.
- Experience using client billing portals and electronic billing systems preferred.
- Strong Microsoft Excel skills, including the ability to review, analyze, reconcile, and organize billing data.
- Proficiency with Microsoft Office, including Excel and Outlook.
- Experience with legal billing software, accounting software, or legal practice management systems preferred.
- Strong understanding of accounts receivable, invoice processing, billing reconciliation, and collections.
- Exceptional attention to detail and accuracy.
- Excellent organizational, analytical, problem-solving, and time-management skills.
- Ability to manage multiple priorities and meet strict monthly billing deadlines.
- Excellent written and verbal communication skills.
- Ability to work independently while collaborating effectively with attorneys, paralegals, legal assistants, accounting staff, and clients.
- Professional demeanor and strong customer service skills.
- Ability to maintain a high level of confidentiality and discretion when handling sensitive financial and client information.
